Job Description:

Join Job Duck as a Legal Communications Coordinator and become the welcoming voice that creates a positive first impression for every client interaction. In this role, you will serve as the primary point of contact for incoming calls, helping clients feel heard, supported, and connected to the right team members. You will play an essential role in ensuring smooth communication, maintaining accurate scheduling information, and supporting daily administrative operations. ● Monthly Compensation Range: $1,015 to $1,100 USD

Responsibilities include, but are not limited to:

  • Utilize Zoom Phone and Office 365 tools to manage communications and scheduling
  • Help ensure smooth daily office operations and client communications
  • Support team members by proactively identifying and addressing administrative needs
  • Monitor communication channels and respond in a timely manner
  • Coordinate communication between clients and internal team members
  • Serve as the primary point of contact for incoming calls during business hours
  • Maintain and manage calendar appointments and updates
  • Confirm appointment details and scheduling information with clients
  • Conduct outbound calls for follow up activities and client communication
  • Deliver a professional, friendly, and empathetic experience to clients and prospects
  • Provide accurate information and assistance to callers whenever possible
  • Maintain confidentiality and professionalism when handling client information
  • Maintain accurate records in Clio and other business systems
  • Assist with administrative and clerical tasks as assigned
  • Answer, screen, and route calls to the appropriate staff members

Requirements:

Location: Remote

Time Zone: CST

Schedule: Monday through Friday, 8:30 AM to 5:30 PM CST

English proficiency required

2-3 years of previous experience in receptionist, front desk, customer service, call handling, or administrative support roles required

Experience managing high volume inbound and outbound phone communications preferred

Previous law firm experience is a plus

Experience using CRM and case management systems is a plus

Experience managing calendars and scheduling appointments preferred

Strong verbal communication and customer service skills required

Comfortable speaking with clients and professionals throughout the workday

Ability to multitask while maintaining accuracy and professionalism

Strong organizational and time management skills

Ability to work independently and proactively support team members

Software and Tools: Clio, Zoom Phone, Microsoft Office 365, Outlook Calendar, Clio Calendar, Claude AI (preferred but not required)

Expected call volume: Approximately 16 to 30 calls per day
