About This Opportunity  

Support executive leadership and help create meaningful change across one of Australia's leading universities.

Join the Faculty of Science's Executive Dean's Office and become a trusted partner to senior leaders in a purposeful, collaborative and high performing environment. As part of a small and supportive executive services team, you will provide comprehensive executive and administrative support to both the Faculty Executive Manager and the Associate Dean (Indigenous Engagement), while contributing to the smooth operation of the Office of the Executive Dean.

This is a varied and impactful opportunity for an experienced executive support professional who thrives in a fast paced environment, enjoys building strong stakeholder relationships and takes pride in delivering exceptional organisational support.

Supporting two senior leaders with distinct portfolios, you will work across a diverse range of internal and external stakeholders, helping to coordinate executive activities, governance functions, community engagement initiatives and faculty operations. You will play an important role in enabling strategic priorities while contributing to UQ's mission of creating change together.

Key responsibilities will include:

  • Managing complex executive diaries, meetings, travel arrangements, correspondence and communications to ensure the smooth running of executive operations.

  • Coordinating and providing high-quality administrative and secretarial support to faculty boards, committees and governance activities.

  • Planning and supporting faculty-wide projects, events, conferences and executive initiatives, including managing logistics and anticipating competing priorities.

  • Preparing briefing materials and ensuring executives are informed and prepared for meetings, engagements and decision-making activities.

About You   

  • A bachelor's degree with subsequent relevant experience; or completion of an Advanced Diploma qualification and at least two years subsequent relevant work experience; or completion of a Certificate IV and extensive relevant work experience; or an equivalent combination of relevant experience and/or education/training.

  • Excellent organisational and time management skills, as well as a commitment to a high level of client-focused service.

  • A keen eye for detail combined with sound problem solving skills to proactively identify and resolve or redirect issues.

  • Excellent stakeholder management skills, including the ability to effectively handle, escalate and follow up matters.

  • Excellent interpersonal and verbal/written communication skills, including the ability to communicate effectively with people from diverse backgrounds and experiences
