The company combines performance coaching, speaking engagements, and professional development to help individuals and organizations perform at their best.
We are looking for a highly organized and proactive Executive Assistant to provide part-time support across client communication, speaking engagement outreach, and general administrative responsibilities.
This role is ideal for someone who is comfortable working independently, using AI and productivity tools, conducting online research, and keeping information organized so the team can quickly understand priorities and next steps.
You will work closely with the company founder and help create efficient workflows for client conversations, business development opportunities, and day-to-day administrative tasks.
Retrieve and organize meeting recordings and transcripts using Otter or similar transcription tools.
Turn conversations into clear, concise summaries, outlines, and actionable next steps.
Organize client information and meeting notes in Trello.
Maintain organized records so the team can quickly catch up on client conversations and priorities.
Use basic AI tools to help summarize, organize, and improve administrative workflows.
Research relevant conferences, events, organizations, associations, and speaking opportunities.
Build targeted lead lists based on established criteria.
Identify relevant contacts and decision-makers.
Conduct initial outreach to potential speaking opportunities.
Manage professional follow-ups with prospects.
Track outreach activity and responses.
Pass qualified or warm opportunities to the founder for final conversations and booking.
Occasionally assist with email inbox organization and management.
Coordinate meetings and scheduling.
Support invoicing and basic administrative processes.
Send and track client follow-ups.
Help maintain organized workflows and ensure important tasks do not fall through the cracks.
Previous experience as an Executive Assistant, Virtual Assistant, Administrative Assistant, Operations Assistant, or similar role.
Strong written and verbal English communication skills.
Excellent organization and attention to detail.
Ability to work independently and manage responsibilities with limited supervision.
Experience conducting online research and organizing information.
Comfortable with professional outreach and follow-up communication.
Experience using Otter or similar transcription/meeting-note tools.
Familiarity with basic AI tools for research, summarization, or productivity.
Comfortable learning and working with tools such as Trello.
Reliable internet connection and ability to work remotely.
Experience supporting a founder, executive, coach, consultant, or small business owner.
Previous experience with lead generation, prospect research, or outbound outreach.
Familiarity with speaking engagements, conferences, or event research.
Experience with inbox management, scheduling, or invoicing.
Interest in sports, athletics, performance, or personal development is a plus.
Success in this role will be measured by your ability to:
