About the Role

We're seeking a highly organized Virtual Medical Administrative Assistant / Pharmacy Coordination Specialist to support a fast-growing, multi-service telehealth practice. This practice delivers care entirely virtually — spanning weight loss programs (including GLP-1/Semaglutide), hormone therapy, ketamine therapy, mental health, and primary care — which means a steady, high volume of prescription orders moving between providers and pharmacies, many of them compounded medications requiring extra precision.

This role is entirely text-based — no phone responsibilities — and centers on making sure every prescription order is complete, accurate, and moving forward, while patients get clear, professional written answers to their questions. If you have pharmacy knowledge and love keeping a high volume of moving pieces organized without anything slipping through the cracks, this is built for you.

What You'll Do

Pharmacy Order Processing

  • Coordinate prescription requests between providers and pharmacies
  • Review orders for completeness, track status, and escalate incomplete or unclear orders
  • Apply strong understanding of pharmacy terminology, dosage forms, and refill processes

Compounding Pharmacy Coordination

  • Communicate directly with compounding pharmacies (relevant to weight loss, hormone therapy, and other specialty programs)
  • Track outstanding compounded orders and ensure provider instructions are relayed accurately

Patient Communication

  • Respond to patient questions via text/secure messaging with professional, error-free writing
  • Follow approved scripts for common questions
  • Escalate clinical questions to providers — this role does not include prescribing, modifying, or giving clinical advice

IntakeQ & Administration

  • Maintain accurate patient records in IntakeQ
  • Route requests appropriately and manage task follow-through across a high patient volume

Provider Support

  • Relay patient and pharmacy requests to providers
  • Track outstanding items to ensure nothing is missed across a busy, high-volume caseload

Requirements

Required Qualifications

  • 2+ years of medical administrative, pharmacy, or healthcare experience
  • Strong pharmacy/prescription terminology knowledge
  • Experience with prescription order processing/coordination
  • Excellent written English — strong grammar, spelling, and attention to detail
  • Experience with text/portal-based patient communication
  • Ability to manage high patient volume and recognize when to escalate to a provider
  • Comfortable working fully remote


Preferred Qualifications

  • Pharmacist (RPh) or Pharmacy Technician background
  • Compounding pharmacy experience
  • IntakeQ and/or telehealth experience
  • High-volume prescription coordination experience
