Job description

We are seeking an experienced Virtual Medical Receptionist / Referral Coordinator to join our growing healthcare team. This is a fast-paced, patient-facing position requiring excellent communication, strong organizational skills, and previous experience supporting U.S. medical practices.

The ideal candidate will be responsible for managing a high volume of inbound and outbound patient calls, coordinating referrals, scheduling appointments, verifying insurance eligibility, and ensuring patients receive timely follow-up throughout the scheduling process.

Experience with eClinicalWorks (eCW) is highly preferred.

Key Responsibilities

  • Answer and manage high-volume inbound and outbound patient calls.
  • Contact new referrals within 24–48 hours of receipt.
  • Schedule new patient appointments while meeting scheduling goals.
  • Confirm, reschedule, and cancel appointments as needed.
  • Verify insurance eligibility and benefits before appointments.
  • Manage referral workflows and ensure timely patient outreach.
  • Coordinate scheduling based on insurance requirements, including authorization timelines.
  • Maintain accurate patient documentation within eClinicalWorks (eCW).
  • Provide outstanding customer service while maintaining HIPAA compliance.
  • Collaborate with providers and office staff to optimize scheduling and patient flow.

Success Metrics

  • Contact all new referrals within 24–48 hours.
  • Schedule 30+ new patients per month from approximately 40–50 monthly referrals.
  • Verify insurance eligibility accurately and in a timely manner.
  • Maintain excellent patient satisfaction through responsive communication and efficient scheduling.

  • Previous experience using eClinicalWorks (eCW) is strongly preferred.

  • Strong knowledge of referral management and appointment scheduling.
  • Excellent English communication skills (Spanish is a plus).
  • Ability to multitask in a fast-paced, high-volume environment.
  • Strong attention to detail and organizational skills.

Benefits

Please note that this is a full-time contractor position (40 hours per week) with a negotiable pay rate depending on skillset and experience. The schedule is Monday through Friday, from 8 AM to 5 PM CST.
