Job description

This is a remote position.

As a Project Coordinator, you will provide administrative and coordination support to project delivery teams, helping ensure projects are well-organized, properly documented, and progressing according to agreed plans and processes.

You will work closely with internal teams, clients, suppliers, and other stakeholders to maintain project information, coordinate schedules and activities, support reporting and governance, and ensure accurate documentation throughout the project lifecycle.

Your Duties

  • Support project teams throughout the project lifecycle by maintaining schedules, trackers, logs, and action lists.
  • Monitor project activities, milestones, planned start and completion dates, and dependencies.
  • Create, maintain, and distribute project documentation, including job packs and work instructions.
  • Maintain accurate records of risks, issues, actions, and changes, escalating concerns to the Project Manager.
  • Support statutory, permit, and notice activities where required, including Streetworks, NOIs, and traffic management processes.
  • Manage PIANOI as-built submissions and related network adjustments where applicable.
  • Maintain accurate and auditable project records in line with governance and contractual requirements.
  • Update schedules, whereabouts, trackers, and relevant systems to support day-to-day project delivery.
  • Coordinate with internal and external stakeholders regarding work planning and scheduling.
  • Support project and operational meetings by coordinating inputs, recording actions, and following up on outstanding items.
  • Prepare daily, weekly, and monthly reports by collecting and validating project data.
  • Maintain accurate project information across internal, client, and partner systems.
  • Identify data discrepancies, risks, and emerging issues and escalate them appropriately.
  • Coordinate communication, documentation, correspondence, and updates between project stakeholders.
  • Build and maintain effective relationships with internal and external stakeholders.
  • Perform other reasonable duties as required.

Requirements


  • 1–3+ years of experience in project coordination, project administration, operations coordination, or a similar role.
  • Experience supporting projects, programmes, or operational teams in a coordination or administrative capacity.
  • Understanding of the project lifecycle and basic project management controls.
  • Experience maintaining project trackers, schedules, logs, and reports.
  • Exposure to governance, compliance, or assurance activities.
  • Strong organizational skills with the ability to manage multiple activities and deadlines simultaneously.
  • High attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Good stakeholder and client engagement skills with a solutions-focused approach.
  • Ability to learn and implement new processes and technologies.
  • Good knowledge of Microsoft Office, particularly Word, Excel, and PowerPoint.
  • Fluent English.
