Job description

We are seeking a Bilingual (English/Spanish) Virtual Front Desk / Medical Receptionist to support a busy U.S.-based Pain Management and Spine practice. This is a full-time remote position for a highly organized, patient-focused professional who thrives in a fast-paced medical environment.

The ideal candidate has experience supporting a U.S. medical practice, is comfortable handling a high volume of patient calls, scheduling appointments, managing electronic medical records, and assisting with insurance-related administrative tasks. Experience with eClinicalWorks (eCW) is strongly preferred.

Responsibilities:

  • Answer high-volume inbound patient calls professionally and courteously.
  • Make outbound calls for appointment confirmations, rescheduling, reminders, and follow-up.
  • Schedule, reschedule, and cancel patient appointments while managing multiple provider calendars.
  • Register new patients and update demographics, insurance information, and medical records in the EMR.
  • Manage and maintain accurate patient records in eClinicalWorks (eCW).
  • Verify insurance eligibility and benefits prior to appointments.
  • Assist with prior authorizations, referrals, and other insurance-related administrative tasks as needed.
  • Route messages, prescription refill requests, and clinical inquiries to the appropriate provider or department.
  • Coordinate with providers, clinical staff, imaging centers, and pharmacies to ensure continuity of patient care.
  • Maintain HIPAA compliance and protect patient confidentiality at all times.
  • Provide exceptional customer service while ensuring a positive patient experience.

Requirements

  • Fluent English and Spanish (spoken and written).
  • Minimum of 2 years of experience supporting a U.S.-based medical practice.
  • Previous experience as a Medical Receptionist, Front Desk Coordinator, Medical Administrative Assistant, Patient Coordinator, or Medical Assistant.
  • Experience handling high-volume inbound and outbound patient calls.
  • Strong appointment scheduling and calendar management experience.
  • Experience using eClinicalWorks (eCW) is strongly preferred.
  • Experience with insurance verification, eligibility checks, prior authorizations, and referrals is highly preferred.
  • Experience in Pain Management, Spine, Orthopedics, Neurosurgery, Physical Medicine & Rehabilitation (PM&R), Sports Medicine, or similar specialties is highly preferred.
  • Excellent communication, multitasking, and organizational skills.
  • Strong attention to detail and ability to work independently in a remote environment.

Benefits

Please note that this is a full-time contractor position (40 hours per week) with a negotiable pay rate depending on skillset and experience. The schedule is Monday through Friday, from 8 AM to 4 PM CST.
