Job Role: PA / Receptionist

Compensation range: $2,000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: We are seeking a proactive and organized PA/Receptionist to manage front desk operations, coordinate diaries and appointments, and provide day-to-day administrative support. This role is essential in ensuring smooth office operations while delivering a professional and welcoming experience for clients, visitors, and internal teams. 

Key Responsibilities: 

  • Manage front desk operations by greeting clients, handling enquiries, and providing exceptional customer service.
  • Manage court diaries, calendars, appointments, and reminders for the legal team.
  • Schedule and coordinate client appointments and meetings.
  • Review and monitor shared inboxes, processing incoming emails, mail, and legal correspondence.
  • Maintain accurate electronic and physical client files using the firm's practice management system.
  • Prepare, file, and organize legal documents while providing administrative support to lawyers.
  • Assist with opening new client matters, court-related administration, and general office operations.
  • Maintain office supplies and ensure the reception and office environment remain organized and professional.
  • Handle confidential information with accuracy, discretion, and attention to detail.

Requirements

Required Skills and Qualifications:

  • Strong English communication skills, both written and verbal.
  • Previous experience in an administrative or office support role.
  • Excellent organizational and time management skills with strong attention to detail.
  • Proficiency in Microsoft Office and general office systems.

Nice-to-Have:

  • Experience using legal practice management or legal software.
