ABOUT THE ROLE

As a Remote Receptionist dedicatedly paired with one of our high-growth international clients, you will be the virtual face and voice of their business. This is a critical, client-facing role that directly shapes the first impression for their clients, partners, and team members.

We are looking for a highly polished, friendly, and exceptionally organized professional who can manage communications, coordinate scheduling, and provide seamless administrative support to keep their operations running smoothly. While this is a fully remote role, you will collaborate closely with their internal teams to ensure clients receive exceptional service every step of the way.

WHAT YOU’LL BE DOING

  • Virtual Call Routing: Answer and direct incoming calls in a highly courteous, professional, and welcoming manner.
  • Inquiry Management: Monitor and respond to emails and online inquiries promptly, professionally, and efficiently.
  • Calendar Coordination: Schedule appointments and actively manage calendars and meeting room slots for staff as needed.
  • Client Advisory Support: Provide general information about the company, products, or services to clients and customers with complete clarity.
  • Record Management: Maintain accurate, real-time records of client interactions and update database information in the CRM system.
  • Administrative Assistance: Help with light administrative tasks including data entry, document preparation, and system organizing.
  • Office Procurement Support: Coordinate and manage the virtual ordering of office supplies and administrative essentials.
  • Meeting Coordination: Handle local coordination tasks such as placing lunch orders for scheduled on-site team meetings.
  • Internal Collaboration: Communicate effectively with internal teams and departments to ensure overall operational harmony.

WHAT WE’RE LOOKING FOR

  • Experience: Proven experience in a receptionist, customer service, or administrative support role is required.
  • Education: Bachelor’s Degree required.
  • Communication: Flawless verbal and written communication skills in English with a highly polite and confident speaking voice.
  • Remote Readiness: Ability to work independently, stay productive, and maintain high motivation in a virtual environment.
  • Organizational Skills: Strong multitasking abilities with the capacity to prioritize overlapping deadlines under pressure.
  • Technical Proficiency: Comfortable navigating technology, including virtual phone systems, email platforms, scheduling software, and video conferencing tools.
  • CRM Familiarity: Prior experience working with CRM systems or customer service platforms is highly preferred.
  • Discretion: A high level of professional maturity and the ability to handle sensitive, confidential client information with absolute discretion.

  • Call routing accuracy, response speeds, and message clarity.
