Veeva RIM User Access Management Process Improvement Consultant

About the Initiative

A global life sciences organization is undertaking a focused User Access Management improvement initiative for its Veeva RIM platform. Several business and functional teams have experienced challenges across the end-to-end access journey, including user onboarding, contractor and external partner access, restricted product approvals, workflow complexity, and limited visibility into responsibilities, approvals, and escalation paths.

The initiative has three primary objectives:

  1. Resolve active access issues through a structured Hypercare effort
  2. Review and improve the end-to-end Veeva RIM access process through focused improvement cycles
  3. Enable key stakeholders through knowledge-sharing and training activities

The organization is seeking an experienced consultant to lead and support these efforts in close collaboration with the User Access Management team, IT, procurement, and business stakeholders.

Role Summary

Job Title: Veeva RIM User Access Management Process Improvement Consultant
Engagement Type: Contingent Worker
Duration: Three months, with potential extension
Location: United States, Remote
Seniority: Senior, with five to eight years of relevant experience

Key Responsibilities

Hypercare Support

  • Lead or support a focused Hypercare effort to resolve current Veeva RIM access issues
  • Improve visibility into active cases and resolution status
  • Capture recurring issues and identify systemic patterns across the access journey
  • Coordinate activities across User Access Management, IT, procurement, external partners, and business stakeholders

Process Review and Improvement

  • Conduct an end-to-end review of the Veeva RIM and related system access journey through structured improvement cycles
  • Identify bottlenecks, redundant steps, and ownership gaps
  • Simplify guidance materials and standardize escalation paths
  • Prioritize and implement quick wins while developing sustainable process improvements

Documentation and Standardization

  • Document current-state and future-state access processes
  • Develop roles and responsibilities matrices, approval workflow maps, and escalation documentation
  • Ensure materials are clear and actionable for both technical and business audiences

Stakeholder Enablement

  • Support the preparation and delivery of knowledge-sharing sessions for business leaders, key stakeholders, super users, and high-volume requestors
  • Develop content covering current processes, responsibilities, approval workflows, restricted product access, common issues, frequently asked questions, and improvement activities

Issue Pattern Analysis

  • Analyze ticket data and recurring issues using ServiceNow or comparable platforms
  • Identify systemic root causes
  • Recommend sustainable fixes and governance improvements to prevent recurrence

Cross-Functional Collaboration

  • Work closely with User Access Management, IT, procurement, external partners, and business stakeholders
  • Maintain clear and proactive communication with project leadership and sponsors

Required Skills and Experience

  • Five to eight years of experience in IT operations, digital operations, regulatory systems, or access management
  • Hands-on experience with Veeva RIM, including user roles, permissions, restricted product access, workflows, and onboarding processes
  • Strong background in application security and user or identity access management
  • Demonstrated experience identifying and resolving process inefficiencies
  • Experience moving quickly from issue diagnosis to actionable process improvement
  • Working knowledge of Lean Six Sigma or continuous improvement practices, including process mapping, root-cause analysis, and structured improvement cycles
  • Strong stakeholder communication and documentation skills
  • Ability to translate complex technical access processes into clear, business-friendly guidance
  • Ability to work independently in a remote, fast-paced environment with multiple concurrent workstreams

Preferred Qualifications

  • Experience in pharmaceutical or life sciences regulatory environments
  • Experience with change management or stakeholder adoption frameworks
  • Familiarity with compliance requirements related to system access controls
  • Experience facilitating training or enablement sessions for cross-functional audiences
  • Experience with ServiceNow or comparable ticketing systems
  • Familiarity with contractor onboarding and workforce management platforms
