Job Description:
Role Overview
The role of a Document Control Specialist is to lead the project Document Control efforts in co-ordination with the Project Team. The Document Control Specialist is facilitating the document flow, e.g. RFI, submittal and transmittals to clients and suppliers and the systematic assembly of project documentation as part of the project execution. The work is done in co-ordination with the Project Manager and project team, utilizing existing document control procedures and templates, to handle project documentation to the project specific requirements and needs. The Document Control Specialist is responsible to create the Master Submittal Register with the Project Manager and Project team based on specific contract requirements, regular / weekly updates to the Submittal Register as part of the execution of the Battery Energy Storage projects including input/update of team members regarding missing/schedule/required documents per the Master Submittal Register.
The Document Control Specialist will work with the Battery Storage organization based in the Americas, reporting to the Document Control Manager.
Key Responsibilities
Develop the Project Master Submittal Register in co-ordination with the Project Team
Maintenance and update of the Project Master Submittal Register as part of the execution
Tracking of incoming and outgoing documentation to Clients and Suppliers
Manage the project document flow process with Clients and Suppliers
Receiving and Filing of Documents as per the Document Control Procedure
Distributing documents for workflow processing
Actively managing the project workflow, following up with the Project Team regarding required submittals and RFI responses
Submitting variance reports to the Leadership team for project document deliverables
Understand of KPIβ reports and submittal of KPI data to Leadership
Required Qualifications & Expierence
5+ years of working experience as Document Control Specialist
5+ years of experience with Document Control Management Systems
Experience with development of Project Control Variance Reports
Demonstrated ability working in a matrix organization
Ability to work in a team environment
Ability to work constructively with the project team members
Ability to multitask between multiple projects
Ability to working in a fast paced environment
Good Communication Skills
Required travel: 10%
