Summary of Position

The Document Control Specialist is responsible for ensuring documents are entered, released and maintained in the PLM correctly; data is accurate and in the appropriate place for internal and external usage. The role requires managing multiple projects simultaneously, applying critical thinking to resolve challenges where solutions may not be immediately evident, and taking a solution-oriented approach that balances practical business needs with compliance and governance. Strong English reading and writing skills are essential, as the position involves interpreting complex business scenarios and technical documentation.

Essential Duties and Responsibilities

  • Process Change Orders (COs) using the PLM in a timely manner with high level of accuracy in compliance with company procedures.
  • Collaborate with Change Order initiators to ensure accuracy of the change orders.
  • Ensure accurate CO entry, approval assignment, and revision control per company procedures.
  • Route marketing materials through the appropriate review and approval workflows and ensure the correct approved marketing revisions are released and maintained in the PLM system.
  • Work daily with Marketing stakeholders, reviewers, and cross-functional partners to support timely routing, review, approval, and release of marketing-related documentation.
  • Assists with efforts to enhance the regulatory compliance and business efficiency of the Document Control processes.
  • Provide guidance about the company processes and procedures to internal customers and department personnel, regarding document format, content, use, control, and the Document Control system.
  • Maintains inspection readiness of the Document Control process at all times.
  • Apply working knowledge of ISO 13485, FDA Quality System requirements, and related regulations and standards to support compliant document control practices.

  • Proven ability to manage multiple projects in a high-volume environment
  • Strong English reading and writing skills; able to interpret complex business and technical documentation. 

Qualifications preferred

  • Exposure to medical device and/or regulated industry marketing approval process
