Construction Project Coordinator – Remote

Commercial Construction | AIA Billing | Buildertrend | Contracts & Bonding

Position Type: Full-Time, Remote

About the Role

At Pavago, one of our clients is hiring a Construction Project Coordinator to support the successful execution of commercial construction projects from pre-construction through project closeout.

This is a high-impact operations role responsible for managing construction contracts, AIA billing, bonding documentation, project records, and day-to-day project coordination across multiple active commercial projects.

You’ll work closely with project managers, contractors, municipalities, vendors, bonding companies, and leadership to ensure projects remain organized, compliant, and on schedule.

What You’ll Own

Contracts & Bonding Management

  • Manage commercial construction contracts throughout the project lifecycle.
  • Coordinate:
    • Bid bonds
    • Performance bonds
    • Maintenance bonds
  • Prepare and submit bonding documentation accurately and on time.
  • Communicate with bonding companies, municipalities, general contractors, and project stakeholders.
  • Monitor contract compliance and maintain organized project documentation.

AIA Billing & Project Administration

  • Prepare and submit AIA billing packages (G702/G703).
  • Maintain and update Schedule of Values (SOV).
  • Track retainage and project payment milestones.
  • Ensure billing packages are accurate, complete, and submitted on schedule.
  • Identify potential billing or payment issues before they impact project cash flow.

Project Systems & Documentation

  • Maintain project documentation within Buildertrend or similar construction management platforms.
  • Track:
    • Project schedules
    • Receipts
    • Milestones
    • Progress updates
  • Maintain accurate project records and documentation.
  • Ensure CRM and project management systems remain current and reliable.
  • Support leadership reporting and project visibility.

Administrative & Project Coordination

  • Coordinate communication with:
    • Clients
    • Contractors
    • Vendors
    • Municipalities
    • Internal teams
  • Support pre-construction and project administration activities.
  • Organize contracts, permits, drawings, and supporting documentation.
  • Participate in project meetings and provide updates on assigned responsibilities.
  • Assist with operational coordination to keep projects moving efficiently.

Experience

  • Proven experience supporting commercial construction projects.
  • Hands-on experience with:
    • AIA Billing (G702/G703)
    • Schedule of Values (SOV)
    • Construction contracts
    • Construction bonding processes
  • Experience tracking retainage and construction payment documentation.

  • Strong understanding of:
    • Commercial construction workflows

  • Advanced Microsoft Excel and Microsoft Office skills.
