Job description

Part-Time House Manager & Personal Assistant

Location: Aptos, CA 95003

Employment Type: Part-time, 8–12 hours per week

Schedule: Two days per week, Wednesday through Friday, between 1:00 PM and 8:00 PM

Compensation: $35–$40 per hour, based on experience

Start Date: ASAP

Requirements

  • Reliable transportation required; mileage reimbursed at the standard IRS rate
  • Up-to-date on all major vaccinations, including current COVID-19 and flu boosters (required due to health considerations within the household)
  • CPR and First Aid certification preferred
  • Tech-savvy and comfortable using digital tools
  • Must be comfortable working with cats

About Our Household

Based in Aptos, we are two close friends who share a home, along with a pet cat. With both of us working remotely, our days are full, our energy is carefully managed, and we rely on a calm, well-run home to keep everything in balance. We recently relocated and are in the process of settling in, which means there are still systems to build and projects to work through alongside the day-to-day rhythm of the household.

We are not a high-energy nor high-traffic household—our home is quiet, peaceful, and intentional. We value order, routine, and the comfort of knowing that tasks are handled proactively.

We have some support in place, including a weekly house cleaner and a meal-prep chef, and we are looking for a calm, steady, and proactive house manager who can consistently show up to fill in the gaps in between—starting with creating and maintaining household organization systems, managing laundry and dishes, and daily resets and light tidying—so we can focus more of our energy on prioritizing our well-being.

Who You Are / What We're Looking For

We're looking for a highly organized, proactive House Manager who instinctively creates order and develops practical systems that make a household run effortlessly. You are highly observant and self-directed—you can walk into a room and see what needs to be done without being asked. You take genuine pride in your work and feel a real sense of satisfaction supporting others. You bring calm and focus to everything you do, and you thrive in quiet, relaxed environments where thoughtfulness and intention matter above all.

You bring a grounded, calming presence and naturally adapt to the rhythm of a quiet, intentional home. You communicate thoughtfully, exercise excellent judgment, and know how to support a household with professionalism, warmth, and emotional intelligence.

While we already have a weekly house cleaner and meal-prep chef, we're looking for someone who naturally identifies what needs attention, fills the gaps between existing support, and takes ownership of keeping our home running smoothly. From laundry and organization to household administration, inventory, meal support, and pet care, you'll become a trusted partner who allows us to conserve our energy for what matters most.

Key Responsibilities

Household Organization & Maintenance

  • Create and maintain household organization systems
  • Perform daily resets and light tidying, including dishes, surfaces, and vacuuming high-traffic areas
  • Prep the home before weekly cleaner visits
  • Manage seasonal swaps for clothing, décor, and bedding
  • Coordinate donation drop-offs
  • Assist with event, holiday, and guest prep
  • Support packing and unpacking for travel
  • Care for indoor plants
  • Handle routine maintenance tasks such as changing batteries and light bulbs

Laundry & Linens

  • Wash, fold, and organize laundry on a regular basis
  • Handle ironing, steaming, and special garment care as needed
  • Rotate linens
  • Maintain a tidy, well-stocked laundry area

Meal Support

  • Reheat and plate meals provided by the household's meal-prep chef
  • Prep simple items such as washing produce and light snack preparation
  • Keep the kitchen organized and clean
  • Support grocery delivery coordination/shopping as needed

Inventory & Errands

  • Restock pantry, fridge, and household supplies
  • Manage running supply lists and household subscriptions (Amazon, Costco, Target, etc.)
  • Handle mail and packages including sorting, organizing, and breaking down boxes
  • Run errands such as returns, dry cleaning pickup, and gift shopping

Deep Cleaning & Special Projects

  • Assist with periodic deep cleans, including the fridge, oven, and baseboards
  • Clean and maintain humidifiers and air purifiers
  • Refresh the garage and entryway areas
  • Assist with an ongoing special project: sorting and organizing a loved one's belongings currently stored in a room in the home and a nearby storage unit, with occasional coordination for off-site units until they are relocated closer

Pet Care

  • Feed, brush, and play with the household cat
  • Schedule vet and grooming appointments
  • Maintain pet supplies

Vehicle Upkeep

  • Schedule routine maintenance for the household vehicles
  • Assist with fueling, cleaning, and organizing the vehicles
  • Track registration and insurance renewals

Vendor & Property Oversight

  • Oversee and serve as the point of contact for cleaners, landscapers, and contractors
  • Research vendors, coordinate repairs, and manage quotes
  • Assist with seasonal property upkeep and outdoor spaces
  • Provide phone-based vendor coordination for a second property, liaising with the current PA and housekeeper as needed

Administrative & Personal Assistant Support

  • Manage household calendars and scheduling
  • Assist with travel planning and hotel bookings
  • Coordinate appointments and events
  • Track receipts and assist with basic household budget tracking
