Title: Order Approval & Quality Control Virtual Assistant

Overview

We are seeking detail-oriented Virtual Assistants to support order approval and quality control processes for a high-volume operations team. This role focuses on reviewing sales contracts, verifying order accuracy, and ensuring all materials and specifications are correct before production.

The ideal candidate has strong attention to detail, experience with data entry or ERP systems, and the ability to interpret contracts and specifications accurately.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

1. Order Review & Quality Assurance

  • Review incoming sales contracts for accuracy and completeness
  • Verify measurements, materials, and project scope align with order requirements
  • Identify discrepancies, inconsistencies, or missing information and flag issues
  • Ensure all order details meet internal quality standards before processing

2. Order Creation & Data Entry

  • Build detailed material lists based on approved contracts
  • Accurately input order data into ERP systems
  • Maintain organized and error-free order records
  • Support initial data entry tasks while progressing to full order review responsibilities

3. Process Support & Coordination

  • Collaborate with internal teams to resolve contract or order issues
  • Participate in cross-functional discussions as responsibilities grow
  • Follow established SOPs for order verification and processing

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.


Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • ERP system experience highly preferred
  • 2+ years of experience in data entry, order processing, or administrative support
  • Strong attention to detail and accuracy
  • Experience reviewing contracts, invoices, or sales orders preferred
  • Background in construction, home improvement, or manufacturing is a strong plus
  • Ability to learn quickly and handle repetitive high-volume tasks
  • Strong organizational and problem-solving skills


APPLICATION SOFTWARE KNOWLEDGE / REQUIRED TOOLS

  • ERP systems (preferred)
  • Microsoft Excel / Google Sheets (basic to intermediate)
  • CRM or order management systems (a plus)


Work Schedule

  • Contracted Hours per Week: 40 Hours
  • Scheduled Working Days: Monday through Friday
  • Daily Working Time: 8:30 to 5:30 PM PST

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
