Job description

Looking for Filipino (Philippines-based) candidates

Job Role: CRM & Admin Specialist

Compensation range $900 - 1,100 AUD / Month

Engagement Type: Independent Contractor

Work Schedule: Part-time, approximately 20 hours per week, with availability during Australian business hours (AEST/AEDT).

Who We Are: At Hunt St we help Australian companies directly hire top 5% remote talent in the Philippines. You will be hired directly by the client, typically as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote, so you'll be able to work from home.

Who The Client Is:

Our client is a growing Australian e-commerce business specialising in high-value retail products and related accessories. With an expanding customer base and ambitious growth plans, the business is investing in better systems, streamlined processes and automation to support its next stage of growth.

This is an opportunity to join a small, growing team where initiative, curiosity and ownership are valued. The successful candidate will have the freedom to improve existing processes, recommend smarter ways of working and contribute directly to the business's continued growth.

Role Overview:

We are looking for a proactive and systems-oriented CRM & Admin Specialist to take ownership of the business's CRM, e-commerce administration and day-to-day sales support.

You will manage and optimise Pipedrive, administer the WooCommerce store, maintain accurate sales pipelines and develop workflows that reduce manual work. You will also support the sales team with customer enquiries, appointments, reporting and administrative tasks.

This role is ideal for someone with strong, hands-on Pipedrive and WooCommerce experience who enjoys solving problems, improving processes and finding opportunities to automate repetitive tasks. We are looking for someone who does more than follow instructions: someone who researches solutions, identifies bottlenecks and brings practical improvement ideas to the team.

The role starts at approximately 20 hours per week, with the potential to grow into full-time hours as the business scales. There may also be opportunities for performance-based bonuses as the role and business grow.

Key Responsibilities:

Pipedrive CRM Management

  • Own the day-to-day management of Pipedrive, keeping deals, contacts and activities accurate and up to date
  • Filter and qualify incoming leads so the sales team can focus on the best opportunities
  • Manage pipeline stages and activities, ensuring every lead has a clear next step
  • Build and maintain automations and workflows across the customer journey: lead capture, nurture, sale and post-sale follow-up
  • Create dashboards and regular reports on leads, conversion rates, pipeline value and sales activity

WooCommerce Store Administration

  • Manage product listings, pricing, stock status, promotions and product content across spas, swim spas and parts
  • Process and track orders, deposits and parts enquiries in collaboration with the sales team
  • Maintain plugins, store settings and integrations to keep the site running smoothly
  • Connect WooCommerce and Pipedrive data so customer and order information flows seamlessly between systems

Admin & Sales Support

  • Book appointments, manage calendars and coordinate follow-ups for the sales team
  • Manage shared inboxes and route enquiries to the right person
  • Prepare quotes, customer documentation and general correspondence
  • Document processes and build clear SOPs for repeatable tasks

Process Improvement & Automation

  • Identify bottlenecks and manual tasks, then recommend and implement smarter solutions
  • Explore native AI features and automation tools within Pipedrive, WooCommerce and connected platforms
  • Bring fresh ideas to the team on how we can work faster and serve customers better
