Job description

This is a remote position.

Our client is looking for a CRM Specialist to take ownership of their customer relationship management systems, sales funnels, marketing automations, and technology integrations. They operate in the professional education and career development industry and have recently expanded their licensing support, clinical training resources, and career pathways for international healthcare professionals entering the U.S. esthetics market.

This role will focus primarily on Salesforce and Go High Level, ensuring that CRM data, pipelines, automations, landing pages, integrations, and reporting systems operate reliably. The CRM Specialist will serve as the technical connection between the founders, sales team, operations team, external developers, and other system partners.

The ideal candidate is highly technical, proactive, organized, and comfortable taking independent ownership of systems in a fast paced environment. This is a priority hire for the organization.

Responsibilities

• Implement, configure, maintain, and continuously improve Go High Level.

• Support the implementation and ongoing administration of Salesforce.

• Manage CRM structures, customer records, pipelines, stages, user permissions, and data integrity.

• Build and optimize sales funnels and customer journeys based on business and sales objectives.

• Create, update, test, and improve landing pages.

• Develop workflow automations for marketing, sales, customer communication, and operations.

• Configure and manage API integrations connecting the CRM with WhatsApp, email platforms, calendars, payment processors, and other third party applications.

• Ensure leads are properly captured, assigned, routed, tracked, and followed throughout the sales process.

• Monitor CRM performance and troubleshoot technical, automation, integration, and data issues.

• Build dashboards and reports for sales, marketing, operations, and executive leadership.

• Track the accuracy and performance of pipelines, automations, lead routing, landing pages, and reporting processes.

• Collaborate with founders, sales representatives, operations professionals, external developers, and technology vendors.

• Translate operational and commercial requirements into practical CRM solutions.

• Document system architecture, technical configurations, automation logic, integrations, and internal processes.

• Train internal team members on CRM best practices, system updates, and newly implemented features.

• Identify and recommend technology improvements that increase efficiency, automation, reliability, and scalability.

• Support the implementation of new technology initiatives as the organization grows.



Requirements

Hands on experience managing and configuring Go High Level.

• Practical experience administering or implementing Salesforce.

• Experience managing CRM pipelines, lead stages, user permissions, customer records, and data quality.

• Strong understanding of API connections and third party system integrations.

• Experience integrating communication tools such as WhatsApp and email platforms with CRM systems.

• Experience building sales funnels, customer journeys, landing pages, and workflow automations.

• Ability to create dashboards and accurate performance reports.

• Experience troubleshooting CRM, automation, integration, and data issues.

• Strong analytical and problem solving abilities.

• Excellent organization and attention to detail.

• Ability to manage multiple projects and stakeholders independently.

• Strong written and verbal communication skills.

• Fluent English and Portuguese, both spoken and written.

• Availability to work part time in a fully remote environment.

• Proactive approach to identifying system limitations and recommending improvements.

• Strong documentation and process development skills.

• Comfortable working directly with executives and company founders.

• Passion for creating reliable, scalable, and efficient technology systems.
