About the Role
We are looking for an experienced AU Bookkeeper & Payroll Associate to join an Australian business in the car rental industry.

This is a long-term opportunity for someone with solid Australian bookkeeping experience who can take ownership of the day-to-day financial administration of the business, support payroll preparation, and work confidently with minimal supervision.

The successful candidate will be responsible for maintaining accurate bookkeeping records across multiple entities, supporting payroll preparation, managing day-to-day financial transactions, and assisting with business and property-related financial obligations.

Strong QuickBooks and Xero experience is a must-have for this role as the business is transitioning to using Xero.

The business is looking for someone who is dependable, detail-oriented, and genuinely interested in settling into a long-term role. The current bookkeeper is transitioning out of the business, and there will be an opportunity for the successful candidate to receive support and training during the handover period.


Key Responsibilities
Day-to-Day Bookkeeping

  • Manage day-to-day bookkeeping activities across multiple business entities.
  • Maintain accurate and up-to-date financial records and transactions.
  • Process and reconcile accounts payable and accounts receivable.
  • Perform regular bank and account reconciliations.
  • Maintain accurate financial records using QuickBooks and Xero as required.
  • Support the transition of bookkeeping processes from QuickBooks to Xero.
  • Ensure transactions are correctly categorised and recorded.
  • Monitor outstanding transactions and follow up on missing or required information.
  • Assist with month-end and other regular financial reporting requirements.

Payroll Preparation

  • Assist with the preparation and processing of payroll.
  • Maintain accurate payroll-related records and documentation.
  • Ensure payroll information is complete and accurate before processing.
  • Assist with resolving payroll-related queries and discrepancies as required.
  • Maintain confidentiality when handling employee and payroll information..

Multi-Entity Bookkeeping

  • Maintain bookkeeping records across multiple business entities.
  • Ensure transactions are accurately allocated to the appropriate entity.
  • Monitor and maintain records of inter-entity transactions.
  • Ensure financial records remain accurate, organised, and up to date across all entities.
  • Work independently to manage bookkeeping requirements across the different entities.

Business & Property-Related Financial Administration

  • Assist with tracking and recording business and property-related expenses.
  • Maintain records relating to land tax and other relevant property-related obligations.
  • Ensure expenses and financial transactions are appropriately recorded and supported by documentation.
  • Assist with monitoring recurring business and property-related costs.
  • Identify discrepancies or unusual transactions and raise these for review.

Accuracy & Process Management

  • Maintain a high level of accuracy across all bookkeeping and payroll activities.
  • Identify discrepancies, missing information, or unusual transactions and follow these through to resolution.
  • Maintain organised financial documentation and records.
  • Follow established bookkeeping and payroll processes.
  • Support the transition and handover from the current bookkeeper.
  • Learn and maintain existing processes and contribute to improving them where appropriate.
  • Support the transition to Xero and help ensure bookkeeping processes remain accurate and efficient during the changeover.

Other Responsibilities

  • Work closely with the business owner and relevant stakeholders on bookkeeping and financial administration matters.
  • Provide updates on outstanding items, discrepancies, and matters requiring attention.
  • Maintain confidentiality when handling financial, business, and employee information.
  • Take ownership of assigned responsibilities and ensure tasks are completed accurately and on time.
  • Support other reasonable bookkeeping, payroll, and financial administration requirements as needed.


About You
We're looking for someone who is experienced, reliable, detail-oriented, and comfortable taking ownership of their work.

Essential Experience & Skills

  • Australian bookkeeping experience is required.
  • Strong QuickBooks and Xero experience is a must-have.
  • Experience managing bookkeeping for multiple entities.
  • Solid understanding of day-to-day bookkeeping processes.
  • Experience with payroll preparation.
  • Experience handling business and/or property-related expenses and financial obligations.
  • Exposure to land tax or similar Australian property-related obligations is highly desirable.
  • Strong attention to detail and accuracy.
  • Ability to work independently and manage priorities with minimal supervision.
  • Strong organisational and record-keeping skills.
  • Good written and verbal communication skills.
  • Ability to handle confidential financial information professionally.
