What We’re Looking For

The Administrative Assistant II keeps our Greenville office running smoothly and serves as the first point of contact for employees, visitors, and incoming services. Using a working knowledge of Trillium's business processes, internal systems, and building, you'll manage front desk operations, U.S. mail and package handling, supplies, and day-to-day administrative coordination for the location.

Because we serve members across 46 counties, part of this role supports them directly: you'll handle time-sensitive member correspondence, including in-person grievances and appeals and same-day certified mail routing, with the accuracy and urgency those deadlines require. You'll also prepare reports and materials, coordinate meetings, and keep information moving across teams.

We're looking for someone dependable, organized, and detail-oriented, who handles confidential information with discretion and takes pride in being the person the office can count on.

This is a full-time, on-site position at 1019 W. H. Smith Blvd., Greenville, NC, working 8:30 a.m. to 5:00 p.m., Monday through Friday, with schedule subject to change based on business needs.

On a typical day, you might:

  • Greet visitors and manage front desk operations as the office's first point of contact. 
  • Handle daily U.S. mail, pickup, sorting, scanning, distribution, and outgoing preparation, along with packages, deliveries, and shipments. 
  • Route time-sensitive member correspondence, including walk-in grievances and appeals and same-day certified mail, accurately and on deadline. 
  • Maintain supply inventory and visitor/key access logs. 
  • Provide administrative support for facilities department activities, projects, and building operations. 
  • Document facilities needs and policy updates.
  • Update vendor/contract documentation, review correspondence, reports, and presentation materials. 
  • Schedule and coordinate meetings, trainings, and events. 
  • Track facilities departmental deliverables, deadlines, and performance metrics. 
  • Coordinate communication and information flow across teams and stakeholders.

Qualifications

Required:

  • High school diploma or GED and one (1) year of clerical experience; OR
  • Equivalent combination of education and experience.
  • Must have a valid driver’s license.
  • Must reside in North Carolina and within 75 miles of the assigned Trillium office location: 1019 W. H. Smith Blvd., Greenville, North Carolina.
  • Must be able to travel within catchment as required.

Preferred:

  • Associate's degree or higher and two (2) or more years of administrative or office‑coordination experience, preferably in a corporate or multi‑department setting, with experience in facilities or vendor coordination, visitor or access‑control processes
  • Intermediate Microsoft Office skills and/or experience working with and updating SharePoint sites
