ACCOUNTS PAYABLE AND BILLING COORDINATOR

JOB SUMMARY

The Accounts Payable and Billing Coordinator is responsible for supporting accounts payable and revenue integrity by ensuring accurate and timely, compliant billing for media and campaign activity. This role validates documentation, reconciles billing details, and identifies discrepancies that could impact client invoicing accuracy, month-end close, or financial reporting. Working across Finance, Media, and Account teams, the Billing Coordinator strengthens billing quality at scale through disciplined review, clear issue resolution, and organized, audit-ready documentation.

KEY RESPONSIBILITIES

  • Validate and create all new Vendor request records
  • Serve as the primary point of contact for Accounts Payable inquiries, responding promptly to vendors and internal stakeholders.
  • Prepare, review, and reconcile vendor invoices
  • Validate proof-of-performance and billing requirements
  • Prepare pre-bills, final invoices, and supplemental billing packages
  • Investigate discrepancies and coordinate corrections
  • Support month-end close activities
  • Identify recurring issues and recommend improvements
  • Maintain audit-ready billing documentation
  • Clarify billing requirements with Media and Account teams
  • Prepare weekly ACH payment batches for approval and processing
  • Perform other related duties as assigned or required
  • Manages annual 1099 processing, including vendor review, preparation and filing

REQUIREMENTS

  • 1–3+ years in accounts payable, billing, or accounting
  • Agency or media experience preferred
  • Strong attention to detail and numeracy
  • Ability to manage multiple deadlines
  • Clear communication skills

COMPENSATION: $55,000 - $60,000 DOE

WORK LOCATION & TRAVEL

  • This is a primarily remote position for U.S.-based candidates, with optional hybrid or in-office opportunities in Lakewood, Colorado, and Sarasota, Florida.
  • Expected travel: Up to 10% including client meetings, conferences, team gatherings, and/or industry events.
