Job Summary:

The Vendor Management Coordinator plays a key role in supporting Accuserve’s vendor network by maintaining compliance, providing exceptional vendor support, and ensuring accurate and timely updates to vendor accounts. This role requires a strong understanding of client service territories, our contractor network, and the ability to manage multiple communication channels efficiently. Daily work includes phone calls, email correspondence, and system updates, with periodic travel to promote the network and represent the company.

General Responsibilities:

Vendor Compliance & Account Management

  • Monitor and ensure vendor compliance with company policies, procedures, and contracts.
  • Maintain and update vendor documentation and certifications, ensuring timely renewals.
  • Manage the confidential tab in vendor profiles, including generating AP numbers, updating EFT information, insurance, and contractor documents.
  • Maintain compliance in partnership with Sublynk, including handling the Sublynk email inbox, downloading required documentation, and updating vendor profiles.
  • Process USAA PSP code requests, verify Xactnet addresses, and review profiles for compliance.
  • Maintain Certificates of Insurance, Contractor Licenses, and other required vendor documentation.

Vendor Support & Issue Resolution

  • Respond to vendor inquiries regarding membership, compliance, training, and payment processes.
  • Address vendor concerns via email, phone, and other communication channels.
  • Investigate vendor files to ensure proper documentation and adherence to protocol.
  • Work directly with vendors to resolve compliance, documentation, or procedural issues.
  • Escalate complex issues to appropriate internal teams when needed.
  • Support Vendor Managers with miscellaneous compliance checks, price point history reviews, and other vendor-related tasks.

Payment Inquiries & Finance Coordination

  • Address questions related to payment status and timelines, resolving discrepancies.
  • Collaborate with finance and other departments to ensure accurate, timely payments.

Tracking, Reporting, & Process Improvement

  • Track and document vendor issues, identifying patterns and trends.
  • Prepare reports on common issues and provide feedback to management.
  • Partner with internal teams to improve workflows and develop updated procedures based on vendor feedback.

Additional Responsibilities

  • Contribute to customer retention by strengthening vendor relationships through account management and maintenance.
  • Maintain quality service by monitoring standards and advising leadership of potential problems.
  • Manage paperwork collection, background check authorizations, and training record updates.
  • Perform other duties as assigned to support team and company needs.
Requirements

Minimum Qualifications:

  • High School diploma or GED required; experience in the contracting or insurance industry preferred.
  • Strong relationship-building, communication, and problem-solving skills.
  • Ability to work independently and collaboratively in a remote environment.
  • Highly organized with strong attention to detail and analytical skills.
  • Ability to work overtime or flex schedules during high volume and CAT Events is required
  • Ability to problem-solving and use critical thinking 
  • Ability to handle conflict in a professional and courteous manner
  • Excellent verbal, electronic, and written communication, and customer service skills
  • Work with peers and all departments for the common goals of the organization
  • Reliable in meeting work commitments
  • Must be flexible and adapt to most any situation
  • Ability to utilize technology devices, software and application, previous experience with Microsoft Office Suites and basic computer skills required
  • Reliable high speed home broadband internet connection with minimum 25 meg download and 10 meg upload speeds and ability to connect to home internet via ethernet cord is required if working remotely

Salary Description $45,000 - 50,000, based on experience
