Job description

Overview:

The Marketing Business Operations Specialist supports the Corporate Affairs organization by helping maintain the operational infrastructure that keeps the marketing function organized, efficient, and scalable. This role supports vendor and technology inventory, contract and SOW tracking, renewal coordination, procurement and invoice support, license and utilization tracking, vendor performance monitoring, SharePoint administration, process documentation, and cross-functional operational requests. This is a growth-oriented opportunity for a highly organized, detail-oriented individual to learn the marketing function, build business operations expertise, and develop a career path within Marketing Operations, Business Operations, Marketing Technology, or Project Management.

Responsibilities:
  • Maintain and update marketing vendor, technology, contract, SOW, renewal, license, and
    ownership trackers to support accurate operational visibility.
  • Support renewal coordination, procurement requests, invoice tracking, purchase order follow-up, and related documentation in partnership with marketing stakeholders.
  • Assist with vendor utilization and performance tracking by collecting usage information,
    stakeholder feedback, renewal inputs, risks, and action items.
  • Support SharePoint management and governance, including organizing libraries and folders,
    maintaining document standards, updating site content, and helping ensure teams can easily find approved resources.
  • Create and maintain process documentation, SOPs, checklists, templates, calendars, and
    operational reference materials that improve consistency and scalability across the team.
  • Prepare routine business operations updates, trackers, and summaries related to vendor
    inventory, renewals, licenses, utilization, SharePoint organization, and operational requests.
  • Work cross-functionally with Marketing, GTM, Finance, Procurement, Legal, IT, and vendor
    partners to gather information, resolve open items, and keep work moving forward.
  • Identify opportunities to improve organization, documentation, workflow clarity, and repeatable processes across Corporate Affairs.
  • Complete all responsibilities as outlined in the annual performance review and/or goal setting.
  • Complete all special projects and other duties as assigned.

Qualifications:
  • Bachelor's degree in marketing, business, communications, operations, or related field preferred.
  • 3+ years of experience in marketing, business operations, project coordination, administrative
    support, vendor coordination, or a related function preferred.
  • Highly organized, detail-oriented, and able to manage multiple tasks, deadlines, documents,
    trackers, and follow-ups in a fast-paced environment.
  • Strong written and verbal communication skills with the ability to work professionally and
    collaboratively across functions.
  • Comfortable working with spreadsheets, trackers, shared files, and business documentation;
    Microsoft Excel, SharePoint, Teams, PowerPoint, and Smartsheet experience a plus.
  • Curious about marketing and motivated to learn how marketing operations, technology, vendors,
    reporting, and project management support business growth.
  • Demonstrates good judgment, accountability, follow-through, confidentiality, and a service-oriented approach to supporting internal stakeholders.
  • Technically capable, adaptable, and willing to learn new tools, systems, processes, and marketing operations practices.
  • Interest in building a career in Marketing Operations, Business Operations, Marketing
    Technology, Project Management, or Vendor Management.
  • Comfort asking questions, learning from cross-functional partners, documenting processes, and improving how work gets organized and completed.
  • Strong sense of ownership and willingness to learn the marketing function from the ground up.

Physical Requirements and Working Conditions

  • Remaining in a stationary position, often standing or sitting for prolonged periods.

  • Must be able to provide a dedicated, secure work area.
  • Must be able to provide high-speed internet access / connectivity and office setup and
    maintenance.

Base compensation ranges from $65,000 to $75,000 per year. Specific offers are determined by various factors, such as experience, education, skills, certifications, and other business needs. This role is eligible for commission. OR This role is eligible for discretionary bonus consideration.
