  • Collaborate with Project Managers, clients, vendors, and internal subject-matter experts to resolve quality issues, complaints, and accessibility-related risks.

Job Overview 

The Alternative Formats Quality Coordinator develops, implements, and manages quality assurance processes for accessible communications and alternative-format deliverables. 

 The role ensures that materials produced by external vendors meet client requirements, applicable accessibility standards, and Avantpage quality expectations. 
 

Working closely with Project Managers, clients, vendors, and internal quality teams, this role reviews and improves the quality of accessible PDFs and electronic text, large print in 18-point Arial, Grade 2 Braille, and audio in CD/MP3 or equivalent formats. 
 
The position serves as Avantpage's subject-matter expert on document accessibility and alternative-format quality, supporting consistent, compliant, and scalable delivery. 

The position focuses on quality oversight and vendor management rather than production or remediation.  
 
Reviews are primarily digital. It performs direct QA when an output can be meaningfully evaluated with the available expertise and tools. For specialized, tactile, audio, or language-dependent deliverables that cannot be independently reviewed in full, the coordinator validates the vendor's QA process, evidence, qualifications, and sign-off before acceptance. External vendors remain responsible for production and any required hard-copy proofs or physical delivery. 
 

This role may also participate in client meetings to clarify quality requirements, explain review approaches and findings, and support the resolution of accessibility-related concerns. 

Duties and Responsibilities 

  • Establish, document, and maintain quality assurance standards, procedures, checklists, evaluation criteria, and acceptance requirements for accessible communications and alternative-format projects.
  • Conduct direct QA reviews of accessible PDFs, electronic text or data-CD content, large print in 18-point Arial, and other deliverables that can be evaluated using approved standards, tools, and testing methods.
  • For Braille, audio, tactile, language-dependent, or other specialized outputs that cannot be fully reviewed in-house, evaluate and document the vendor's QA methodology, reviewer qualifications, test results, sampling evidence, and formal sign-off.
  • Review vendor deliverables and supporting quality documentation to determine whether client, contractual, regulatory, and Avantpage requirements have been met before acceptance.
  • Conduct accessibility and usability testing using industry-standard validation tools, screen readers, and assistive technologies; document defects clearly and consistently.
  • Participate in client meetings when needed to clarify requirements, explain QA processes or findings, and support accessibility-related reviews and escalations.
  • Collaborate with Project Managers, clients, vendors, and internal subject-matter experts to resolve quality issues, complaints, and accessibility-related risks.
  • Monitor quality metrics and vendor performance; provide clear feedback, corrective-action requests, root-cause guidance, and improvement recommendations.
  • Create and deliver internal training and practical guidance on document accessibility standards, alternative-format QA, and quality expectations.
  • Support audits, client reviews, vendor evaluations, and continuous-improvement initiatives related to accessibility and alternative-format services.
  • Maintain current knowledge of evolving accessibility regulations, standards, testing methodologies, assistive technologies, and industry best practices. 

Skills and Qualifications 

  • Bachelor's degree in Accessibility, Digital Publishing, Communications, Linguistics, Quality Management, or a related field, or equivalent practical experience. 
  • 2+ years of experience in accessibility quality assurance, document accessibility, digital publishing, accessible content, or a related field. 
  • Strong working knowledge of WCAG, PDF/UA, document accessibility principles, and manual and automated accessibility-testing methodologies. 
  • Hands-on experience reviewing accessible documents, applying structured QA checklists, documenting defects, and validating corrections or acceptance criteria. 
  • Ability to determine when direct review is possible and when quality must be validated through a specialized vendor's documented process, credentials, evidence, and sign-off. 
  • Familiarity with screen readers and assistive technologies, particularly JAWS and NVDA. 
  • Experience using Adobe Acrobat Pro and Microsoft Office applications, particularly Word and PowerPoint. 
  • Strong professional English and the ability to communicate findings clearly in documentation, vendor discussions, and client-facing meetings. 
  • Strong analytical, problem-solving, organizational, and stakeholder-management skills, with careful attention to quality, traceability, and compliance.
