Job description

The Nonprofit Coordinator keeps a portfolio of grant and client work moving. You support Grant Managers and senior coordinators by handling the logistics, documentation, data, and follow-through that let them focus on strategy, writing, and funder relationships. You are the operational backbone of the client relationships you support, the person who makes sure nothing falls through a crack.

 Responsibilities :

  • Develop and manage annual and monthly communications calendars.

  • Create and distribute monthly newsletters, including performance tracking.

  • Set up and organize Google Drive folders for new grant opportunities.

  • Prepare and organize the inputs that Grant Managers need to draft narrative reports.

  • Coordinate editorial calendars with internal teams and clients.

  • Gather program data from clients each month using the firm's standardized collection tools.

  • Maintain accurate donor records, segmentation, and data hygiene.

  • Monitor donor insights and support fundraising strategies.

  • Generate monthly reports on donations, pipeline, and retention.

  • Keep Asana boards and task deadlines current across the portfolios you support.

  • Track required documents, attachments, and supporting materials for each opportunity so nothing is missing at submission.

  • Help maintain an accurate picture of where every grant stands in the pipeline.

  • Support client onboarding and ensure organized workflows.

  • Experience in nonprofit administration, development, grants, or program coordination.

Requirements:

  • 2+ years of experience in nonprofit communications, development operations, or a related field.

  • Experience working with CRM systems (ideally Salesforce).

  • Exceptional organization and follow-through. You track many moving parts at once and you do not drop details.

  • Experience in nonprofit administration, development, grants, or program coordination.

  • Strong written and verbal communication.

  • Comfort with project management and collaboration tools, including Asana, Google Workspace, and Slack, and a willingness to learn data and dashboard tools quickly.

  • Reliability and responsiveness. You meet internal deadlines and you communicate early when something is at risk.

  • Experience creating email newsletters and managing social media platforms.

  • Strong copy editing and organizational skills.

  • Ability to manage multiple projects and meet deadlines.

  • Familiarity with donor intelligence and research tools.

  • Experience with CRM migrations (e.g., Salesforce Nonprofit Cloud).

  • Experience building dashboards and board-level reports.

  • Knowledge of nonprofit or philanthropic environments.
