Job description

Would you like to play a key role in supporting leaders in a dynamic R&D organization where no two days are the same? Are you someone who creates structure, keeps track of the details, and enjoys being the go-to person who helps things run smoothly? Join us on our journey.

We are facing an exciting future with considerable growth and demanding changes as we deliver advanced technologies and mission-critical solutions for the defense and aerospace industry. Our systems provide security for people on land, at sea, and in the air. As our new Management Assistant in Research & Development, you will become part of this journey and contribute to our overall purpose - securing people through advanced technology

Your role in our team

As our new Management Assistant, you will support five Vice Presidents across our Research & Development organization and play a key role in making their day-to-day activities run smoothly, ensuring an efficient and well-organized environment.

You will be a central point of coordination and help create structure across calendars, meetings, travel, communication, and the many practical activities surrounding the R&D leadership team. Your days will be varied, and you will often be the person connecting the dots, following up, and making sure that practical details are taken care of.

If you enjoy variety and thrive in a fast-paced environment with changing priorities, this position could be a great fit for you. One day, you may be coordinating calendars and the next, organizing a leadership workshop, preparing materials for a meeting, welcoming visitors, or helping to solve an unexpected situation.

The position is part of the Integrated Product Development (IPD) Business Management department and reports to the CTO's Executive Assistant & Office Manager. You will work closely with colleagues across R&D and the wider organization in a collaborative and supportive environment built on trust, teamwork, and open communication.

How you will make a meaningful contribution

Your key responsibilities include:

    • Managing and coordinating calendars for five Vice Presidents, including meeting scheduling, prioritization, and preparation of meeting invitations and related materials
    • Coordinating leadership meetings, offsites, workshops, and governance forums
    • Preparing agendas, presentations, briefing materials, and decision-making documentation
    • Following up on actions, decisions, and strategic initiatives within R&D to help ensure progress and alignment
    • Supporting communication activities and collaboration across the IPD and R&D leadership team and key stakeholders
    • Contributing to strategic initiatives and activities across the IPD organization in close collaboration with the wider IPD Business Management team

Bring your world class expertise into play

You are fluent in English, both written and spoken. Danish is an advantage but not a requirement. In addition, you bring:

    • A relevant educational background and experience as a Management Assistant, Personal Assistant, or in a similar administrative role supporting senior leaders
    • Strong planning, coordination, and organizational skills
    • Excellent stakeholder management and communication skills
    • Proficiency in Microsoft Office and digital collaboration tools
    • Experience managing calendars, meetings, travel arrangements, and senior leadership correspondence
    • Experience in a technology, engineering, manufacturing, or R&D environment is an advantage

The R&D organization is experiencing significant growth and transformation, creating a dynamic environment with many parallel activities. To succeed in this role, you are comfortable navigating a complex stakeholder landscape, balancing competing priorities, and maintaining structure in a fast-changing environment.

As a person, you are proactive, trustworthy, and highly professional. You naturally create structure, build strong relationships, and anticipate needs before they arise. You work independently, exercise sound judgment, and handle confidential information with discretion.

You thrive in a dynamic environment where priorities can shift and collaboration across functions and organizational levels is key. You are the kind of person who makes things happen – bringing structure when things get busy, staying calm when plans change, and helping the people around you succeed.
