Job description

The Talent Acquisition Officer will support day-to-day candidate sourcing, hiring manager coordination, and general recruitment administration. This role manages the end-to-end hiring lifecycle, from initial telephone screenings to coordinating assessment centres, and will help ensure job advertisements, mandatory compliance checks, onboarding documentation, and applicant tracking records remain accurate and up to date.

  • Work with hiring managers to confirm vacancy requirements, candidate profiles, locations, working hours and rosters.
  • Prepare and update position descriptions and job advertisements.
  • Advertise vacancies across approved internal and external recruitment platforms.
  • Source, screen and shortlist candidates against agreed selection criteria.
  • Conduct telephone screening and coordinate interviews with hiring managers.
  • Prepare interview questions and support managers with consistent candidate assessment.
  • Conduct reference checks and communicate recruitment outcomes to candidates.
  • Coordinate assessment centres and psychometric testing where required.
  • Coordinate employment offers through the approved electronic onboarding system.
  • Verify working rights, visa status, police checks, Working with Children Checks and other role-specific requirements.
  • Collect required licences, qualifications, vaccination evidence and client-specific documentation.
  • Follow up candidates to ensure onboarding forms and supporting information are completed promptly.
  • Coordinate company, online and client-site inductions.
  • Provide completed employee information to payroll and other relevant internal teams.
  • Ensure mandatory checks and approvals are completed before employees commence work.
  • Maintain accurate vacancy and candidate information within the applicant tracking and HR systems.
  • Provide hiring managers with regular updates on recruitment progress and outstanding actions.
  • Maintain recruitment trackers covering vacancy status, candidate progress and anticipated commencement dates.
  • Develop job-ready candidate pipelines for recurring, high-volume and difficult-to-fill roles.
  • Close outdated advertisements and maintain accurate recruitment records.
  • Identify recruitment delays, compliance gaps and opportunities to improve recruitment and onboarding processes.
  • Other role-specific duties as they arise.

Requirements

  • A bachelor’s degree in Human Resources, Business Administration, Psychology or a related discipline.
  • Previous experience in talent acquisition, recruitment coordination or a similar internal recruitment role.
  • Experience supporting or managing end-to-end recruitment activities.
  • Experience advertising vacancies, screening applications and conducting telephone interviews.
  • Experience coordinating interviews, reference checks, employment offers and onboarding.
  • Strong organisational skills and the ability to manage multiple vacancies and competing priorities.
  • Strong written and verbal communication skills.
  • High attention to detail and accurate recordkeeping skills.
  • Confidence communicating with candidates, hiring managers and operational stakeholders.
  • Experience using an applicant tracking system, HR information system or electronic onboarding platform.
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Ability to manage confidential information appropriately.

Advantageous Skills and Experience

  • Recruitment experience within facility services, cleaning, maintenance, security or another contract-based service environment.
  • Experience recruiting high-volume, frontline, mobile or site-based employees.
  • Experience coordinating police checks, working-rights verification and client-specific compliance requirements.
  • Exposure to contract mobilisation or urgent workforce ramp-up projects.
  • Experience developing candidate pipelines for recurring vacancies.
  • Basic understanding of Australian employment legislation and the industrial relations framework.
