Sales Administrator (Ringfenced Opportunity Only)

**PLEASE NOTE THIS IS A RINGFENCED OPPURTUNITY AND ONLY SELECT EMPLOYEES WILL BE CONSIDERED AT THIS TIME**

Earnings: £25,000.00 per annum

Full Time | Permanent | Remote

Purpose and Requirements:

The Sales Support Administrator plays a central role in ensuring the day-to-day administrative and operational activity of the Sales function runs smoothly and consistently.


Working across the Sales team, you will manage and maintain core processes including valuations, property records, compliance activity, and appointment coordination.  This also includes relists - supporting returning customers back to market, guiding them through the onboarding process, and ensuring all required information and documentation is accurately captured and updated within internal systems.


You will ensure customer and property records remain accurate, respond to queries from customers and colleagues, and maintain clear communication across teams and platforms.


The role also includes supporting the administration of customer appointments and property viewings where required, managing booking updates, resolving queries, and coordinating with external partners to ensure alignment across systems and a consistent customer experience.


Through strong organisation and attention to detail, you will help ensure properties move through each stage of the sales journey accurately and efficiently.


This is a fully remote, home-based role.

What you will be doing:

Appointment & Viewing Coordination
•    Scheduling and rescheduling valuation appointments.
•    Managing appointment cancellations and reallocations where required.
•    Ensuring all bookings are accurately recorded across internal systems.
•    Supporting customer appointment enquiries, including property viewing updates where manual intervention is required.
•    Managing amendments, cancellations, or reschedules within external booking platforms where necessary to ensure systems remain aligned.
•    Recording viewing feedback or relevant updates within PB systems to support Sales follow up.

Relists & Customer Onboarding
•    Managing properties returning to market, ensuring records are reviewed, updated, and compliant prior to relisting.
•    Supporting returning customers through the onboarding process, confirming documentation, compliance requirements, and system updates are complete.
•    Reactivating property listings accurately and coordinating with relevant teams to ensure a smooth return to market.
•    Ensuring all relist activity is clearly recorded and communicated internally.

Valuation & Property Housekeeping
•    Monitoring and updating outstanding valuation reports and internal trackers.
•    Managing unpublished, withdrawn, and archived properties to ensure accurate record keeping.
•    Creating new property records where required and ensuring correct allocation.
•    Checking compliance dates to ensure properties meet relisting requirements.
•    Maintaining accurate documentation to support operational visibility.

Property Management & Compliance
•    Reassigning vendors and properties based on postcode allocations.
•    Advert creation for high volume LPPs under admin support 
•    Bulk-moving properties where operationally required.
•    Supporting compliance checks to ensure properties meet listing standards.
•    Chasing Account Managers and Sales Negotiators for updates on properties under the Legal Preparation Pack (LPP).
•    Ensuring accurate and consistent information flow between customers, internal teams, and relevant external platforms.
•    EPC requirement for marketing are followed and upsell add-ons if required.

Boards & Keysafe Management
•    Overseeing board and keysafe logistics, ensuring missing or misplaced items are rectified.
•    Managing board movements and re-erections where required.
•    Supporting property access coordination where necessary.

Holiday cover   

• Potential to help with advert creation whilst LPPs are away on holiday.
• Supporting ad-hoc administrative tasks as required.

What the role needs:

  • Exceptional organisational skills with the ability to multi-task and remain organised.
  • Be proficient in using a computer, able to use Excel and Word and ideally be familiar with PB systems.
  • Strong attention to detail and accuracy in record keeping.
  • A passion for delivering excellent customer service.
  • Confident verbal and written communication skills.
  • Comfortable working across multiple systems and maintaining data integrity.
  • Ability to manage processes independently while collaborating effectively within a remote team.
  • A proactive approach to resolving queries and improving administrative workflows.

What Success Looks like:

  • Property, customer and appointment records are accurate, complete and consistently maintained across all systems.
  • Valuations, relists and onboarding activity are processed efficiently, with returning customers brought back to market smoothly and without unnecessary delay.
  • Customer appointment and viewing queries are resolved promptly, with clear communication and minimal need for escalation.
  • Compliance requirements are monitored and managed proactively, reducing errors and preventing properties being delayed or relisted incorrectly.
  • Sales Managers and internal teams can rely on up-to-date information, clear administrative control, and timely follow up across live cases.
  • Processes are followed consistently, with opportunities for improvement identified and shared to strengthen efficiency and service standards.
  • Sales teams trust the role as a reliable source of support when continuity matters most.
