National 4-H Council is seeking an Event Assistant to support the operations, communications, customer service, and systems that bring our national youth experiences to life, including Ignite by 4-H.

As the Event Assistant, you will play an important role in creating a seamless and engaging experience for participants, partners, and stakeholders before, during, and after our national events. Working closely with the Youth Experiences Team and partners across Council, you will provide responsive customer support, maintain accurate participant and registration data, troubleshoot event portals and websites, develop helpful resources and communications, and support the behind-the-scenes coordination that keeps our events moving forward. You will also provide on-site support during Ignite by 4-H and other events, helping ensure participants feel informed, supported, and welcomed throughout their experience.

Position Summary

National 4-H Council seeks a detail-oriented and customer-focused Event Assistant to support operations, communications, customer service, and data management within the Youth Experiences Team. This role works collaboratively with internal Council teams, external partners, and the 4-H network to support Ignite by 4-H and other youth experiences. Reporting directly to the Senior Producer, Youth Experiences, the position is responsible for maintaining accurate participant data, supporting event communications and customer inquiries, testing registration portal and website functionality, and contributing to process and system improvements that enhance the overall participant experience across our National Events. The ideal candidate demonstrates strong organizational skills, professionalism, adaptability, and a commitment to delivering high-quality customer support in a fast-paced environment.


Essential Functions

Communications & Customer Support:

  • Assist with troubleshooting portal issues and responding to inquiries about Ignite by 4-H through the text hotline, phone, email, Microsoft Teams, and Zoom office hours as part of customer service support.
  • Create support resources and reference materials to assist participants, partners, and stakeholders with navigating and utilizing the Ignite by 4-H portal.
  • Develop and update presentations, one-pagers and other communications as needed for the Youth Experiences Team.
  • Ensure timely event updates and information are incorporated into Youth Experiences websites and communications.
  • Provide event website technical assistance by diagnosing and troubleshooting common customer service inquiries; compile knowledge base resources and support processes that help prevent future issues.
  • Provide on-site customer service support during Ignite by 4-H, Council's annual teen conference (and other events as needed) overseeing event Information Desks and Customer Service helplines to ensure they are efficient and effective.

 

Data Management & Systems Support:

  • Enter and maintain event guest information within the registration portal
  • Support data integrity and reporting through consistent record management and quality control practices
  • Monitor and maintain data accuracy by identifying and removing duplicate records
  • Test Youth Experiences Portals and websites functionality to ensure forms, workflows, data capture, and user-facing features operate correctly; identify issues, recommend improvements, and contribute ideas for new features and system enhancements.
  • Collaborate with the Youth Experiences and IT teams to support process improvements and system enhancements that strengthen operational efficiency and improve the customer experience


Financial & Administrative Support:

  • Assist SHOP 4-H and Youth Experiences Teams with invoice follow up and financial reconciliation. 
  • Manage pre and post event communications, coordinating event resources for download and distribution, hosting virtual meeting rooms via Zoom or other platforms, and providing timely follow up and support to participants.


Participant & Stakeholder Support

  • Serve as communications and customer support lead for Ignite and other events as needed both prior to, on-site and following the event.
  • Support survey distribution and follow up for key audiences, including survey setup, deployment, and reporting. 
  • Other duties as assigned. 


Minimum Qualifications

  • High school diploma or equivalent combination of relevant work experience and training.
  • 1-3 years of experience in one of the following industries: events, hospitality or customer relations or a related field, or equivalent combination of relevant work experience and training.


Required Qualifications

  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and Adobe Acrobat.
  • Demonstrated experience working within CRM, database, or event management systems, including accurate data entry, record maintenance, and managing information with a strong attention to detail and data integrity.
  • Demonstrated customer service experience in events, hospitality, concierge, or other customer-facing environments, with the ability to communicate professionally, build positive relationships, and resolve issues in a timely and solutions-focused manner.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple priorities, support multiple stakeholders, and work efficiently and accurately in a fast-paced environment.
  • Collaborative, adaptable, and results-oriented mindset with the ability to work effectively within a team environment and adjust to changing priorities.


Preferred Qualifications

  • Associate's or bachelor's degree in hospitality, event management, communications, business administration, or a related field preferred.
  • Strong written and verbal communication skills, including experience drafting professional communications and applying policies consistently.
  • Demonstrated ability to remain calm in high-pressure situations while managing challenging customer interactions with empathy, sound judgment, and a solutions-oriented approach.
  • Experience coordinating and facilitating virtual meetings, trainings, and presentations using Microsoft Teams, Zoom, or similar platforms.
  • Ability to quickly learn new systems, processes, and technologies while maintaining accuracy, professionalism, and adapting to changing priorities.
  • Experience with online project management platforms such as Asana.
  • Two or more years of experience with 4-H or University Cooperative Extension (participant, volunteer or professional) preferred.


Work Schedule & Travel Requirements: This position follows a recurring partial-year work schedule, with active employment generally occurring from mid-July through mid-April each year. For the 2026–2027 cycle, active employment will continue through April 16, 2027, followed by a scheduled break from April 17 through July 12, 2027. The position is not scheduled to work or receive compensation during this period, with active employment resuming on July 13, 2027. This partial-year schedule is expected to recur annually, with specific dates communicated for each cycle.


The role requires flexibility to support events and participant needs, including frequent evening and weekend work during peak program and event seasons. Extended hours and overtime may be required during high-volume periods. Travel up to 30% (local, regional, and national) may be required.
