Job description

Coordinator, Operations and Conferences & Events

100% In-Person in our Downtown Sacramento Office

Under the direction of the Manager, Conferences and Events and the Senior Manager, Office Operations in collaboration with the Chancellor’s Office, this Coordinator provides support for the Foundation for California Community Colleges and the Chancellor’s Office Education Services Division conferences and events, facilitating event integration with the goals outlined in the Vision for Success and Guided Pathways.

What You’ll Do

The Coordinator will play a key role in both office and event operations, with an emphasis on learning and managing the physical space. Responsibilities include overseeing the day-to-day coordination of office operations such as running Zoom meetings, procuring supplies, managing space reservations, and communicating with internal and external groups. This operational knowledge is essential to supporting both the Operations and Conference & Events teams and reflects the role’s operationally heavy nature.

In addition to core operations support the Coordinator will also assist with event planning and execution of office events produced by the Conferences and Events team. This includes managing the event registration process through Cvent, preparing for events, providing onsite support, assisting with post-event wrap-up and reconciliation, and supporting the Manager with more complex events. The Coordinator serves as a key liaison between the Operations and Conference & Events teams to ensure the smooth execution of in-office events and overall facility operations.

  • Coordinate conference room schedules for both FoundationCCC conference room spaces and Hub Conference room spaces.
  • Collaborate with Event Lead, Tech Team and Comms to build Cvent registration websites and speaker portals using online event management system.
  • Collaborate with Tech Team and Event Lead for Zoom events and manage registration setup, internal review, and generate registration reports.
  • Oversee and/or provide onsite execution of virtual and in-person mid-level conferences and events
  • Serve as the first point of contact for visitors and guests of the FoundationCCC and the Collaboration Hub.
  • Coordinate the activities and operations of the administrative services function which includes: procurement, vendor relations, administrative support and reception, parking, and event planning for Foundation Proper events. (Double Impact, Board of Directors, Miscellaneous Executive team/Office of the President supported events in office)
  • Serve as liaison between the Conference and Events team and Operations team to ensure effective and efficient communication and coordination.

Budgeted Hourly Pay Range:

$24.00 - $25.00
