Position: Coordinator, Hiring Events Team 

Department: Seasonal Exchange Programs 

Reports to: Manager, Hiring Events Team 

Location: Remote within Atlantic, Eastern, and Central US Time Zones

The Work & Travel USA and Camp Exchange USA programs within the Seasonal Exchange Department allow approximately 25,000 students and young professionals from around the world to take part in work-based exchange programs at host organizations across the U.S. each year.  Who you are:

The Coordinator, Hiring Events Team, facilitates virtual hiring services, allowing CIEE host employers to interview and hire from their home office via webcam. In this role, the Coordinator will oversee many aspects of virtual hiring. This includes reviewing host employer needs for seasonal staff, advertising to prospective participants through CIEE’s network of International Representatives overseas, and scheduling and overseeing event execution. The Coordinator will ensure the completion of interview documents prior to virtual events, manage post-event follow-up as necessary, and maintain accurate hiring records in CIEE’s database. 

 Primary Responsibilities: 

  • Communicate and collaborate with lateral CIEE teams, host employers, and international representatives via email, telephone, Skype, and Microsoft Teams.
  • Orchestrate virtual events: create calendar invitations, send reminders to event participants, and communicate adjustments efficiently.
  • Allocate host employer positions, communicate requirements to international representatives, and make shifts as needed.
  • Manage enrollments and ensure the completion of interview documents prior to virtual events.
  • Provide live technical support to all stakeholders during hiring events.
  • Manage post-event reporting and maintain accurate hiring records in CIEE’s database.
  • Provide professional and consistent customer service to all stakeholders.
  • Conduct interviews of applicants for placement into seasonal positions.
  • Train seasonal staff as needed.
  • Other duties as assigned.

What you’ll bring: 

The ideal candidate will possess: 

  • Bachelor’s degree 
  • Two years of experience working in a customer-facing/client management role 
  • Experience in event planning and scheduling preferred, knowledge of virtual event management a plus
  • High level of computer skills including MS Office Suite; Salesforce and advanced Excel experience (e.g., development of macros) preferred 
  • Excellent interpersonal and communication skills, both written and verbal 
  • Very high-level customer service, critical thinking, and problem-solving skills 
  • Self-starter with ability to take initiative and drive projects independently 
  • Experience delivering results in a fast-paced team environment 
  • Strong organizational skills with high level of attention to detail 
  • Demonstrated ability to work with people, both in gathering information and communicating project direction and status 
  • Strong ability to multi-task while overseeing daily projects and events 
  • Some early morning and evening work required to accommodate host schedules
  • Some travel may be requested to attend overseas hiring events as well as domestic travel
