We are seeking a DCX Client Services - Home-Based Import Specialist who is responsible for processing vendor purchase orders, maintaining current order status updates, and communicating action items throughout the order-to-cash lifecycle. This position is an essential part of the team, maintaining visibility into order details and helping anticipate and avoid potential issues or delays through advance work and detailed task management. The Import Specialist will report directly to the Import Manager.

REQUIRED CORE COMPETENCIES

  • Strong communication and interpersonal skills to collaborate effectively with vendors, suppliers, brokers, logistics partners, and internal teams.

  • Ability to identify potential shipment delays, resolve issues proactively, and ensure timely order execution.

  • Strong analytical and problem-solving skills with the ability to monitor order progress and anticipate challenges.

  • Ability to work independently while maintaining accuracy in a fast-paced environment.

  • Commitment to providing excellent support throughout the order-to-cash lifecycle.

WHAT YOU WILL DO

  • Maintain accurate order, shipment, and fulfillment records in NetSuite.

  • Monitor orders in process, track timelines, and identify potential delays or exceptions.

  • Coordinate with factories, suppliers, brokers, 3PL partners, and internal teams to resolve order and shipment challenges.

  • Use NetSuite, Vessel Finder, and related tracking tools to manage order status and delivery information.

  • Prepare exception reports, delivery forecasts, and routine order lifecycle updates for operations and management.

  • Apply strong attention to detail, organization, follow-up, and communication skills across multiple active orders.

  • Track and maintain each assigned sales order and vendor purchase order throughout the order lifecycle.

  • Create, update, and maintain inbound shipment records in NetSuite, including open purchase order status changes and item fulfillment details.

  • Ensure each line item has a current daily status update.

  • Monitor inbound shipments using Vessel Finder, broker updates, supplier information, and related tracking tools.

  • Receive shipping specifications and update NetSuite item fulfillments with shipping details, packing status, and delivery information.

  • Work with the Import Manager to monitor inbound timelines, identify delays, and support timely order execution.

  • Create exception reports and follow up with suppliers, brokers, and 3PL partners to validate delivery status and resolve order issues.

  • Provide routine updates, daily reporting, and weekly forecasts to operations and management on order status, on-time shipments, and potential delays.

  • Communicate regularly with internal operations teams, suppliers, brokers, and third-party logistics partners to keep orders moving through fulfillment.

WHAT WE LOOK FOR

  • Education: Bachelor's degree in Supply Chain Management, Logistics, Business Administration, International Trade, or a related field preferred.

  • Experience: Proven experience in import operations, international logistics, supply chain, order management, purchasing, or a related role.

  • Language Proficiency: Strong verbal, written, and English communication skills. Mandarin language skills are preferred but not required.

  • Working Schedule: Ability to work overnight/graveyard shifts in Philippine time or within US operating hours.

  • Technical Skills: Proficient in both Microsoft and Google applications.

Industry Specific Software/Knowledge:

  • Experience using NetSuite ERP to manage purchase orders, shipment records, and order fulfillment.

  • Experience using Vessel Finder or similar shipment tracking platforms.

  • Knowledge of vendor purchase orders, inbound shipments, and order lifecycle management.

  • Familiarity with international logistics, freight forwarding, customs brokers, Trade Compliance, and third-party logistics (3PL) operations.

  • Experience preparing exception reports, delivery forecasts, and operational updates.

  • Strong understanding of order tracking, fulfillment processes, and shipment documentation.

  • Excellent organizational skills with the ability to manage multiple orders while maintaining a high level of accuracy.

  • Strong analytical, problem-solving, and follow-up skills.

  • Salary Range: PHP 35,000 - 38,000
