Job description

  • Manage calendars across five company directors.
  • Coordinate meetings and resolve scheduling conflicts.
  • Book domestic and international travel, including flights, accommodation and itineraries.
  • Monitor executive inboxes and prioritise important correspondence.
  • Assist with inbox management for the Founding Director, identifying key actions and ensuring follow-up.
  • Coordinate internal meetings and leadership schedules.
  • Prepare meeting invitations and supporting documentation.
  • Liaise professionally with internal stakeholders regarding scheduling and availability.
  • Maintain Outlook calendars and Microsoft Teams communications.
  • Coordinate changing priorities and urgent requests from multiple directors.
  • Provide proactive executive support while exercising sound judgement.
  • Assist with general administrative tasks as required.
  • Support ad hoc administrative projects as the business continues to grow.

The Company is a well-established Australian professional services business with over 25 years of experience and offices in Adelaide and Melbourne. As the business continues to grow, they are looking for a highly organised and proactive Executive Assistant to provide reliable support across our leadership team.

Must Haves

• At least 2 to 3 years of previous Executive Assistant experience.
• Experience supporting multiple executives or directors simultaneously.
• Outstanding organisational skills.
• Strong written and verbal English communication.
• High attention to detail.
• Excellent time management and prioritisation skills.
• Professional corporate communication.
• Experience using Microsoft 365 and Outlook.
• Ability to work independently and use initiative.
• Strong confidentiality and discretion.

Nice to Haves

• Consulting or professional services experience.
• Experience coordinating international travel.

Home Office Requirements
