We are seeking a Medical Records Coordinator to join our team!

 

SUMMARY

The Medical Records Coordinator appropriately and accurately performs administrative duties to verify, organize, maintain and analyze clinical records and other documents for patients receiving supplies from Atos Medical.   This position qualifies records to support medical necessity for supplies, contacts provider offices to secure missing clinical records and files records in the proper patient account.  The Medical Records Coordinator reviews records for completeness and accuracy and ensures all documents are electronically signed.  This role will support other departments who require medical records to service our patients. The Medical Records Coordinator will adhere to HIPAA (Health Insurance Portability and Accountability and 42 CF Part 2 regulations and all applicable state, federal and local laws pertaining to the maintenance and release of medical records. 

 

Main job responsibilities: 

  • Appropriately and accurately requests pertinent and relevant records for patient care, quality review and audits in a timely manner.
  • Uploads all received documents into the patient’s electronic health record.
  • Review each medical record for appropriate diagnosis, documentation of medical necessity and electronic signature from the prescribing provider.
  • Facilitates the correction of deficient documentation.
  • Observe confidentiality and safeguard all patient related information.
  • Responsible for coordinating the release of medical information to insurance companies, attorney’s, state and federal agencies upon request.
  • Notify the requester when records are available.
  • Identify and report errors and quality deficiencies to manager.
  • Maintain customer records by entering information accurately and completely.
  • Maintain a good working relationship within the department and other departments.
  • Adhere to company requirements, policies and standards.
  • Communicates with team members effectively and constructively to reduce conflict and enhance the resolution of issues.
  • Answer, document, and resolve or escalate incoming telephone, fax, and email inquiries.
  • Follow up with outside facilities, providing key information and documenting interactions.
  • Provide excellent customer service.
  • Contribute ideas on ways to resolve problems to better serve the customer and/or productivity.
  • Answering main phone line in the department.
  • Retain knowledge of Medicare policies and federal/state regulations that affect sales activities and interactions with physicians. 

 

Basic Qualifications:

  • 1-2 years of related medical records experience in a healthcare setting
  • HS Diploma or GED
  • Experience with computers and demonstrated proficiency with software programs
  • Minimum keyboarding speed of 5000 key-strokes per hour

 

Preferred Qualifications:

  • Associates degree in medical office management, health information management or related field
  • 2-3 years of experience working with database management of medical records
  • Working knowledge in a Durable Medical Equipment environment, its procedures and criteria
  • Medical terminology highly preferred

  • Acute attention to detail.
  • Clerical skills including proficiency with date entry and computer programs (i.e. Microsoft Word, Excel, and Outlook).
  • Ability to effectively communicate with people at all levels and from various backgrounds.
  • Bilingual skills a plus.
  • Ability to take initiative and work independently.
  • Call center experience desired as position entails a high amount of interaction over the phone.
