Job Role: Business Systems Administrator

Compensation range: $1,500 AUD - $2,000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM AEST, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Who The Client Is: Our client is an Australian construction and property services business based in the ACT. The business operates across two related areas: one focused on high-volume building maintenance, trade services, inspections, certification, and reactive works, and another focused on larger remediation, refurbishment, renovation, and commercial property projects. They work with a mix of commercial, government, insurance, and property-sector clients.

The business is currently improving its internal systems and processes and is looking for someone who can take ownership of system implementation, documentation, user support, and ongoing process improvement.

Role Overview: The Business Systems Administrator will own the client side of Ascora implementation, working directly with the Managing Director, software implementation team, and Australian staff.

The first 3–4 months will focus on migrating the business to Ascora, including data migration, workflow configuration, testing, documentation, training, and go-live. After implementation, the role will own ongoing systems support and improvement across SOPs, automation, CRM, file management, HR/WHS systems, website, and marketing systems.

This is a hands-on systems and delivery role for someone who can work independently, manage stakeholders, identify process gaps, and drive projects through to completion. It is not a general administration, WHS compliance, HR policy, legal, or marketing strategy role; the candidate will administer and improve systems based on business needs and direction from the Managing Director.

Key Responsibilities: 

  • Own the Ascora implementation and migration from the client side.
  • Act as the main point of contact between Ascora’s implementation team and internal stakeholders.
  • Coordinate timelines, data, decisions, approvals, and deliverables with vendors and internal teams.
  • Manage data migration, system configuration, workflows, forms, templates, permissions, and integrations.
  • Lead system testing, UAT, issue tracking, go-live, and post-implementation support.
  • Create SOPs, user guides, training materials, and deliver remote user training.
  • Provide ongoing first-level systems support and troubleshoot user issues.
  • Maintain and improve business systems, processes, CRM, file management, and internal workflows.
  • Build practical automations and integrations using APIs, Zapier, Make, Power Automate, or similar tools.
  • Support WHS, HR, marketing, website, and document management systems from a systems administration perspective.
  • Identify process gaps, implement improvements, and drive projects through to completion.
  • Manage deadlines, follow up with stakeholders, and escalate issues when needed.

Requirements

Required Skills and Qualifications:

  • 4+ years in business systems, implementation, IT coordination, or operations systems.
  • Proven experience leading or supporting software implementations or migrations.
  • Ascora experience strongly preferred; similar job/field service systems also considered.
  • Strong skills in system configuration, workflows, data migration, testing, and troubleshooting.
  • Strong SOP, documentation, and user training skills.
  • Excellent English and confidence communicating with Australian teams and vendors.
  • Able to chase deadlines, manage stakeholders, and escalate issues without formal authority.
  • Highly organised, proactive, and able to work independently with minimal supervision.
  • Experience in construction, trades, field services, or facilities is highly desirable.
  • Experience with Xero, CRM, APIs, Zapier, Make, Power Automate, or Microsoft Project is an advantage.
  • Comfortable handling confidential information and restricted system access.

Other Note:

  • No authority over Australian WHS, industrial relations or contractual compliance matters
  • No access to security-restricted client work. The business holds Defence and government client relationships subject to information handling obligations. This role will operate in a restricted-access environment: build and configuration work performed in a sandbox instance, production access limited by role-based permissions, no data export rights, and restricted client records excluded or redacted. Candidates must be comfortable working within these constraints and will be required to sign a confidentiality and data handling agreement.
