Job Description

The Clinical Recruiting Coordinator is a key contributor to the talent attraction and the selection process of new company employees by providing ongoing operational support for the Clinical Recruiting team under the direction of the VP of Recruiting Operations. This individual will be responsible for acting as a coordinator for key recruiting events and directly supporting the recruiting process, serving in cases as a liaison between recruiters, candidates, and various levels of leadership. The ideal candidate will have experience providing both administrative and communications support for Recruiting departments, as well as high customer service and detail orientation.

ESSENTIAL JOB FUNCTIONS:

  • Manages the coordination of various national clinical recruiting events with regard to:
    • Maintaining the events list within the events management system.
    • Building and providing event reports to recruiters and recruiting leadership.
    • Managing company event registration.
    • Confirming company representatives and coordinating shipment receipts.
    • Confirming and communicating attendee RSVP results.
    • Advising recruiting team on sponsorship opportunities and related costs.
    • Determine and prepare what materials need to be sent for each event.
    • Packing and shipping all related event supplies for booth setup, giveaways, and other supplies.
    • Processing event non-electronic leads as needed within the ATS.
    • Managing all non-personal expense reporting and corporate credit card reconciliation related to all coordinated events, ensuring timely submission and accuracy. Reconcile the departmental corporate credit cards according to all relevant policies.
    • Maintaining the supplies inventory and making recommendations to Recruiting leadership regarding replenishment.
    • Identify and escalate roadblocks, delays, or concerns timely and ensure resolution.
  • Manages end-to-end Recruiting-related candidate/new hire payment submission and tracking for applicable recruiting programs, such as pre-start Relocation bonuses, Kick Start, and Earn While You Learn. Coordinates cross-functionally with Recruiters and departments such as Credentialing and Accounts Payable and communicates effectively with external recipients regarding their eligibility and status.
  • Effectively manages department credit cards for event-related payments/invoices and Workday expense reporting/reconciliation.
  • Develops and sends out detailed agendas for on-site interviews.
  • Captures inbound candidate leads via phone calls, emails, and third-party job boards in the applicant tracking system and assigns them to the appropriate recruiter.
  • Contributes to team and department projects and makes recommendations regarding opportunities for process improvement.
  • Assists in the configuration and implementation of new tools and systems.
  • Supports other Recruiting Coordinators with their workload as needed to ensure consistent support.
  • Works within the ATS, HRIS, and other enterprise systems to ensure accurate recordkeeping.
  • May own part or candidate travel for on-site interviews, working within the company’s travel software and with the candidate, recruiter, and others internally to ensure both accuracy and a positive candidate experience.
  • Other duties as assigned.

  • Thorough knowledge of and skill in using Microsoft Windows-based software.
  • Attention to detail and ability to produce extremely accurate work required.
  • Ability to work in a highly cross-functional team and environment and effectively manage stakeholder expectations and proactively communicate to ensure.
  • Ability to successfully prioritize and manage various activities and duties simultaneously competing priorities.
  • Ability to work overtime and put forth extra effort when needed. The position requires flexibility, such as coming in early, staying late, or postponing lunch to accommodate department needs.
  • Ability to effectively communicate orally and in writing with employees, candidates, internal leaders, and external business contacts courteously and professionally.
  • Ability to maintain confidentiality.
  • Ability to identify, research, and resolve problems and discrepancies.
  • Exhibited desire to improve ways or working through sustainable processes.
  • Ability to maintain patience and composure in difficult situations.
  • Ability to identify emerging issues and to communicate them to management.

EDUCATION AND EXPERIENCE: 

  • Associates or Bachelor’s degree, or equivalent experience, is required.
  • 3-5+ years experience in Administrative support, Human Resources, Recruiting, or related is required.
  • Strong experience with Microsoft Office suite:  Word, Excel, PowerPoint, Outlook, etc.
  • Strong knowledge of Zoom videoconferencing and instant messaging tool.
  • Excellent time management and organizational skills, with the ability to multi-task and juggle various projects and timelines.
  • A self-starter, with the ability to see potential roadblocks and pitfalls and navigate them to ensure timely outcomes.
  • Strong professional judgment and trustworthiness is key. This position directly manages the use and reconciliation of corporate credit cards, as well as has ownership over financial programs and processes.
  • Experience in a cross-functional role and/or fast-paced organization in which ownership and role expectations can be unclear.
  • Maintains a high customer experience and satisfaction mentality and has ability to adapt and interact with various types of “customers” (internal and external stakeholders).

PHYSICAL DEMANDS:

  • While performing the duties of this job, the employee is regularly required to sit for prolonged periods and occasionally walk, stand, bend, stoop, and lift at least 30 pounds. This may need to be higher based on what our teams have to ship out. 
  • Required to have close visual acuity to perform job.

Hourly rate may be determined on several factors including but not limited to knowledge, skills, experience, education, geographical location and requirements stated in job description.
