About the Role
We’re looking for a highly organised, proactive Executive Assistant to provide part-time
support to a busy executive managing multiple professional commitments and businesses.
This is a varied role where no two days are necessarily the same. Our client works across
several organisations and projects, balancing responsibilities spanning operations, HR,
business development, strategic consulting, and government contracting.
With multiple inboxes, calendars, clients and competing priorities to manage, the successful
candidate will play an important role in bringing structure, organisation and efficiency to the
day-to-day workload.
This is not a role for someone who simply waits to be told what to do. We’re looking for
someone who can think ahead, take initiative, ask smart questions and confidently make
suggestions.

Key Responsibilities
● Manage and organise multiple email inboxes and calendars
● Provide day-to-day executive and administrative support
● Help prioritise tasks and keep track of competing deadlines
● Draft emails, documents, communications and other materials on behalf of the executive
● Support with administrative tasks across multiple businesses and projects
● Help organise information and keep workflows moving efficiently
● Take ownership of delegated tasks from start to finish
● Proactively identify areas where additional support or follow-up may be required
● Assist with research, preparation and ad-hoc projects as needed
● Help create greater structure and organisation across a busy and varied workload
● Learn and work across different systems and platforms as required
 
About You
The ideal candidate will be an experienced Executive Assistant or senior administrative
professional who is comfortable supporting a busy executive with a varied and fast-moving
workload.

You will be:
● Highly proactive – able to anticipate needs rather than waiting for instructions
● Organised and detail-oriented, with excellent follow-through
● Comfortable managing multiple priorities and competing deadlines
● Confident asking questions when something isn't clear
● Comfortable speaking up, making suggestions and respectfully challenging when
appropriate
● Able to work independently and take ownership of tasks
● Professional, personable and reliable
● Adaptable and comfortable switching between strategic and highly tactical tasks
● Discreet and trustworthy when handling sensitive information
● An excellent written and verbal communicator

Most importantly, you should be someone who can become a trusted right hand — someone
who doesn't just complete tasks, but helps make the executive's working life more organised
and manageable.

Required Skills & Experience
● Previous experience as an Executive Assistant, Personal Assistant, Senior Administrator or similar
● Strong experience managing email and calendars
● Excellent Microsoft Office / Microsoft 365 skills
● Strong written communication and document drafting skills
● Excellent organisational and time-management abilities
● Comfortable working remotely and independently
● Experience using AI tools such as ChatGPT is highly desirable
● Familiarity with Claude or similar AI productivity tools is a plus
Experience with CRM platforms or other business systems would be beneficial, but training can
be provided where required.
