Job description

Driving operational excellence within an independent policy research and advocacy organisation, this position provides high-level professional support to ensure the efficient functioning of the executive office. This role is instrumental in managing complex donor reporting cycles and coordinating key organisational systems to support national development goals. This is a permanent position requires office presence Mondays to Thursdays, with most Fridays being a work from home day. 8am - 16.30.  R700 000 - R800 000 per annum.

You will act as a central coordinator, bridging the gap between strategic intent and administrative execution. By overseeing funding proposals, donor relations, and human resources coordination, the successful candidate will contribute directly to the impact and sustainability of the organisation’s research and advocacy programmes.

Key Responsibilities

  • Draft, collate, and generate all relevant funding proposals, donor reports, and board minutes for review and approval by the Chief of Staff.

  • Provide a proactive and supportive human resources service, including recruitment coordination, staff wellness, and labour advice.

  • Compile and manage accurate, comprehensive systems for staff and consultant contracts, donor schedules, and performance review cycles.

  • Administer staff development and publication processes to ensure internal compliance and operational flow.

  • Deliver ad hoc organisational support for the Executive Director and Research Director as required.

  • Lead the coordination of workshops and organisational events.

  • Maintain professional standards in all e-mail and formal correspondence with internal and external stakeholders.



Requirements

  • BA, BCom, or BSocSc degree with majors in English, organisational development, development studies, or HR/labour.

  • Minimum of 3 years of experience in a similar professional support or administrative role.

  • Proven experience in contract drafting and the preparation of donor reports.

  • Practical knowledge of day-to-day human resources and labour processes.

  • Experience utilizing human resources systems.

  • Intermediate Microsoft Excel skills and advanced Microsoft Office proficiency.

  • Very good writing skills with the ability to meet frequent, high-pressure deadlines.

  • Strong emotional intelligence, adaptability, and the ability to remain calm under pressure.

Desirable Requirements

  • MA or MCom in any relevant social sciences field.

  • Professional registration with the South African Board for People Practices (SABPP).

  • Proficiency in Sotho, Zulu, or Xhosa.

  • 5 years or more of experience in a similar position.

  • Prior experience or knowledge of the non-profit sector.

  • Proven ability to work independently.
