Job description

We are looking for a highly organised and proactive Recruiting Coordinator / Recruiting Associate to support hiring across our EMEA and APAC regions. This role is a critical part of our Talent Acquisition team, partnering closely with Talent Acquisition Partners, hiring managers, interviewers, and candidates to deliver a seamless and efficient recruiting process. 

In addition to coordinating interviews and managing recruitment administration, you will help build talent pipelines by sourcing and identifying prospective candidates across EMEA and APAC. You will play a key role in ensuring an exceptional candidate experience while helping the Talent Acquisition team scale efficiently in a fast-growing software company.

Interview Coordination & Candidate Experience 

  • Coordinate and schedule interviews across EMEA and APAC, managing complex calendars and multiple time zones. 

  • Manage end-to-end interview logistics, including calendar invitations, video conferencing links, interview panels, and room bookings. 

  • Serve as a key point of contact for candidates throughout the interview process, ensuring a professional and positive experience. 

  • Communicate interview details clearly and accurately to candidates and interview teams. 

  • Manage interview changes, reschedules, and scheduling conflicts while maintaining a high level of responsiveness. 

Candidate Sourcing & Talent Pipelines 

  • Support Talent Acquisition Partners in identifying and engaging potential candidates across EMEA and APAC. 

  • Conduct proactive sourcing through LinkedIn Recruiter, job boards, talent communities, and other sourcing channels. 

  • Build talent pipelines for current and future hiring needs. 

  • Conduct initial candidate research and profile reviews to support recruiting activities. 

  • Assist with employer branding initiatives, talent community engagement, and recruitment marketing campaigns. 

  • Help map target companies and identify prospective candidates for specific roles. 

  • Track sourcing effectiveness and maintain accurate candidate records within recruiting systems. 

  • Support outreach campaigns and candidate engagement activities as required. 

 

Requisition & Job Posting Administration 

  • Partner with Talent Acquisition Partners to support the creation and maintenance of job requisitions. 

  • Ensure job postings are accurate, compliant, and aligned with company branding standards. 

  • Track requisition approvals and coordinate follow-up actions to keep hiring processes moving efficiently. 

  • Maintain accurate candidate and requisition data within ATS and HR systems.  

Recruiting Operations Support 

  • Support the Talent Acquisition team with recruitment administration and process coordination across multiple functions and regions. 

  • Monitor recruiting workflows and proactively identify bottlenecks or delays. 

  • Assist with offer preparation, interview documentation, reporting, and other recruiting activities as needed. 

Process Improvement & Operational Excellence 

  • Support initiatives that improve candidate experience, hiring manager satisfaction, and recruiting efficiency. 

  • Contribute to the development and enhancement of recruiting operational standards. 

Skills & Experience 

  • Previous experience as a Recruiting Coordinator, HR Coordinator, Talent Acquisition Administrator, or similar role. 

  • Experience supporting recruitment across multiple countries or regions is highly desirable. 

  • Exceptional organisational skills and attention to detail. 

  • Strong communication skills. 

  • Ability to manage priorities in a fast-paced environment. 

  • Experience using Applicant Tracking Systems (Ashby, Greenhouse, Workday, or similar). 

  • Experience sourcing candidates using LinkedIn Recruiter or similar sourcing tools is desirable.  

  • Comfortable working across multiple time zones and supporting international hiring teams.
