Job description

• Manage a busy executive calendar across multiple international time zones.
• Monitor and manage inboxes, drafting and responding to correspondence where appropriate.
• Coordinate domestic and international travel, including flights, accommodation, and itineraries.
• Prepare client proposals, presentations, and supporting documentation.
• Maintain and update HubSpot CRM, ensuring opportunities are followed up promptly.
• Track sales opportunities and remind the executive of key actions and deadlines.
• Manage task lists and priorities using Notion and other productivity tools.
• Coordinate meetings and speaking engagements.
• Liaise professionally with enterprise clients, partners, and speaker bureaus.
• Assist with AI-powered workflows using Claude and other AI tools.
• Conduct research and gather information to support client engagements.
• Identify opportunities to improve processes and workflows.
• Provide proactive recommendations and confidently raise potential issues or improvements.
• Provide general executive and business administration support as required.



Client Information

The Company is a newly established advisory and consulting business focused on helping organizations adopt and leverage emerging AI technologies. Its services include executive advisory, strategic consulting, leadership guidance, and keynote presentations for enterprise clients across multiple industries. Operating internationally, the business works with organisations in Australia, Asia, Europe, and North America, with the founder regularly travelling for client engagements and industry events.

Must Haves

• Previous Executive Assistant experience supporting senior executives or business owners.
• Excellent written and verbal English communication.
• Strong organisational skills and exceptional attention to detail.
• Experience managing complex calendars, travel, and competing priorities.
• Experience using CRM platforms (HubSpot highly regarded).
• High level of discretion and professionalism when handling confidential information.
• Comfortable working independently with minimal supervision.
• Confident using AI tools in daily workflows, particularly Claude or similar large language models.

Home Office Requirements
