About the Client

Helm is building AI-powered solutions for the construction industry, helping contractors and project teams work more efficiently through modern technology and automation. The company is looking for a highly organized, proactive, and detail-oriented Executive Assistant & Growth Operations Associate who can serve as a trusted partner across executive support, customer outreach, team coordination, and business operations.

Role Overview

This role combines executive assistance, business operations, and growth support. You'll work directly with the founder to manage communications, protect time and focus, coordinate key initiatives, and support customer-facing outreach efforts.

The ideal candidate is exceptionally organized, communicates professionally, exercises strong judgment, and thrives in a fast-paced startup environment. You should be comfortable taking ownership, handling sensitive information with discretion, and proactively solving problems before they arise.

Key Responsibilities

Executive Support

  • Manage the founder's inbox end-to-end, including prioritizing communications, drafting responses, and ensuring important items receive timely attention
  • Maintain inbox organization and support the goal of consistently reaching inbox-zero
  • Own calendar management, including scheduling meetings, coordinating across multiple time zones, and protecting focus time
  • Anticipate scheduling conflicts and proactively resolve issues before they impact priorities
  • Support travel planning, meeting preparation, and other executive administrative needs as required

LinkedIn & Professional Presence Management

  • Manage the founder's LinkedIn presence with a high degree of discretion and professionalism
  • Draft and schedule occasional LinkedIn content aligned with the founder's voice and brand
  • Manage connection requests and inbound messages
  • Escalate sensitive communications for review and approval before action
  • Ensure all external communications maintain a thoughtful and conservative approach

Customer Outreach & Growth Operations

  • Support outbound business development efforts within the construction sector
  • Research, identify, and qualify prospective customers and strategic design partners
  • Draft personalized outreach and follow-up sequences
  • Maintain CRM accuracy and ensure prospect information remains organized and up to date
  • Monitor and nurture warm opportunities to prevent promising conversations from going cold
  • Collaborate closely with the founder to continuously improve outreach effectiveness

Team Coordination & Operations

  • Act as a central point of coordination across a small, fast-moving team
  • Track action items, project timelines, and operational priorities
  • Coordinate internal meetings, team rituals, and company events
  • Assist with offsite planning, logistics, and team communications
  • Help ensure cross-functional initiatives stay organized and moving forward

Additional Growth Operations Responsibilities

  • Build and maintain target account lists within the construction industry
  • Execute structured outbound outreach campaigns and follow-up sequences
  • Track investor, customer, and partner communications to ensure timely follow-up and engagement
  • Coordinate design partner conversations and support relationship management efforts
  • Maintain strong CRM hygiene and ensure all prospect and customer data remains accurate and up to date
  • Manage multiple ongoing conversations and follow-up threads, ensuring no opportunities fall through the cracks
  • Help convert conversations, introductions, and relationships into qualified pipeline opportunities

What We're Looking For

  • 3+ years of experience supporting senior executives, founders, or leadership teams
  • Strong experience in executive assistance, operations, project coordination, or similar roles
  • Exceptional organizational and time-management skills
  • Excellent written and verbal English communication skills
  • Ability to handle confidential information with professionalism and discretion
  • Experience managing calendars, inboxes, and executive priorities
  • Comfortable working directly with founders and senior leadership
  • Experience with CRM platforms and productivity tools such as Google Workspace, Slack, Notion, or similar software
  • Strong attention to detail and follow-through
  • Highly proactive, resourceful, and comfortable operating independently in a remote environment
  • Interest in startups, technology, and customer-facing business operations

  • Fully remote position
  • Working hours: 9:00 AM – 6:00 PM EST
