The Channel Services Support Coordinator II serves as the primary project coordination and scheduling resource for Channel Services field operations. This position is responsible for managing FSE scheduling and dispatch across active service projects, ensuring service requests are assigned, tracked, and completed in alignment with project timelines and customer commitments. The Channel Services Support Coordinator II works closely with Channel Services Supervisors and Service Managers to maintain master project schedules, monitor work order progress, and proactively resolve scheduling conflicts or coverage gaps. In addition to project coordination, this position provides administrative and data support for Field Operations and professionally represents TRIMEDX in all interactions by demonstrating a commitment to the TRIMEDX vision, mission, and core values. This position is managed centrally from the Corporate Office and utilizes a ticket system to track work requested by the Channel Services team.

Location: Indianapolis, IN preferred; Candidates must currently reside in the Eastern or Central time zones with close proximity to a major airport. Candidates must have the ability to travel nationally as needed, including to our Indianapolis, IN Central Office.

Responsibilities          

Project Management (70%)

  • Serve as the primary scheduling coordinator for all Channel Services field service activities, managing FSE dispatch and assignment across single or multiple active projects.
  • Build, maintain, and publish master service schedules for assigned projects, ensuring FSE availability aligns with customer commitments and project timelines.
  • Coordinate scheduling of both planned (scheduled) and unplanned (unscheduled) service requests, balancing urgency, geography, technician skill set, and project priorities.
  • Communicate daily schedule updates to FSEs, Service Managers, and customer points of contact; proactively flag scheduling conflicts or coverage gaps.
  • Monitor project milestone progress against contractual timelines; escalate delays or resource shortfalls to the Channel Services Supervisor or Manager.
  • Participate in project kick off and status calls, capturing action items, scheduling commitments, and follow-up deadlines.
  • Maintain scheduling records and project documentation to support QVR reporting and customer-facing project status updates.
  • All other duties as assigned.

Administrative Support (15%)

  • Provide clerical and administrative support for CS Leadership.
  • Organize and develop information/materials necessary for meetings, special projects, presentations, and reports.
  • Interact with and provide support to all departmental infrastructure, including human resources, payroll, benefits, service operations, finance, and information technology.
  • Place orders for indirect items in the procurement system as outlined by TRIMEDX Supply Chain.
  • Perform additional support tasks: coordinate meetings (including QVRs and team meetings), calendar management, prepare documents, take notes/minutes, send reminders/responses, maintain files and records.
  • Maintain documents: QVR documents and minutes, and other documents as needed (org chart/pictures).
  • Schedule meetings as requested.

Data Support (15%)

  • Establish and maintain record keeping systems and processes.
  • Compile data for routine and special reports, utilizing Microsoft products including Word, Excel, and PowerPoint to prepare spreadsheets, charts, and graphs; utilize and work with various database software programs.
  • Compile daily, weekly, and monthly reports.
  • Maintain RSQ data, including approving/updating primary and secondary PM Tech, reassigning work orders, updating warranty information (including start/end dates), updating ROTA, and additional items as directed.
  • Respond to customer requests for invoices and Field Service Reports (FSRs), ensuring documentation is accurate, complete, and delivered in a timely manner.

Skills and Experience

  • Minimum 3 years of office experience providing clerical and administrative support preferred.
  • Experience in data management preferred.
  • Must be organized and able to communicate effectively (written and oral).
  • Must be task-oriented and able to complete assigned tasks on time.
  • Must be able to multi-task in support of Field Operations.
  • Knowledge of Microsoft Office applications required.
  • Ability to manage time and set priorities amidst multiple tasks and deadlines.
  • Ability to work effectively with other team members.
  • Strong interpersonal and telephone skills.
  • Strong written and verbal communication skills.

Education and Qualifications

  • High school diploma or equivalent required; associate’s degree preferred.
