Requirements:

  • Schedule, reschedule, and cancel client appointments.
  • Manage clinician calendars and appointment availability.
  • Send online consultation links and appointment reminders.
  • Monitor upcoming appointments to ensure all required documentation is received.
  • Follow up outstanding forms and documentation as required.
  • Review psychiatry referrals and prepare appointments scheduled within the next two days.

  • Process and distribute psychiatry letters and correspondence.
  • Monitor and action clinician requests and administrative tasks within Halaxy.
  • Process invoices and payments accurately.
  • Manage NDIS, Victim Services, Medicare, and third-party billing as required.
  • Monitor outstanding invoices and follow up where necessary.
  • Monitor and respond to emails in a professional and timely manner.
  • Liaise with clients, referrers, clinicians, support coordinators, and external agencies.
  • Monitor and manage the CNX (cancellation) list to maximise appointment utilisation.
  • Provide general administrative support to clinicians and management.

Job description

Clinical Administration
•Review psychiatry referrals and prepare appointments scheduled within the next two days.
•Ensure intake forms, consent forms, checklists, and referral documentation are uploaded and accessible.
•Process and distribute psychiatry letters and correspondence.
•Monitor and action clinician requests and administrative tasks within Halaxy.
•Review and manage Halaxy alerts and notifications.

Billing & Accounts
•Process invoices and payments accurately.
•Manage NDIS, Victim Services, Medicare, and third-party billing as required.
•Enter fees and invoices for upcoming appointments.
•Monitor outstanding invoices and follow up where necessary.

Communication & Correspondence
•Monitor and respond to emails in a professional and timely manner.
•Process incoming electronic correspondence.
•Liaise with clients, referrers, clinicians, support coordinators, and external agencies.
•Maintain professional communication standards at all times.

Practice Support
•Monitor and manage the CNX (cancellation) list to maximise appointment utilisation.
•Provide general administrative support to clinicians and management.
