About the Role

Our client is looking for a Financial Operations Analyst who is equally at home in a spreadsheet and in a customer conversation. This is a rare combination role: part financial steward, part operational backbone, and the person who makes sure nothing falls through the cracks across the full arc of our financial processes.The majority of this role is financial operations and customer-facing support, with a meaningful accounting and reporting component. The right person owns processes end to end, surfaces insights from the numbers, and brings a systems thinker’s eye to everything they touch. They see it through.The right candidate sees what needs to happen, figures out how to make it happen, asks the right questions, and follows through. They bring ideas. They simplify routines. They make the operation more intelligent over time.

What You Will Own

Financial Reporting and Analysis (~15–20%)
• Prepare and maintain accurate monthly management reports in Xero and supporting tools.
• Surface anomalies, flag discrepancies, and interpret financial data so leadership can make informed decisions quickly.
• Manage bookkeeping, journal entries, bank reconciliations, and general ledger accuracy.• Own the documentation and organization of all records for CPA handoff and audit readiness.
• Support budget tracking, financial forecasting, and internal reporting cadences.
• Proactively propose improved reporting templates, cleaner workflows, and smarter financial processes.

Financial Operations and Customer Service (~80–85%)
• Manage the full accounts receivable and accounts payable cycle, including invoice processing, payment setup, and collections follow-up.
• Own customer account setup across payment methods including credit card (UCollect), ACH autopay (GoCardless), and direct ACH.
• Handle account management and communication for domestic and international wholesale customers with professionalism and persistence.
• Process and reconcile Expensify reports, coordinate with internal teams on coding and approvals.
• Manage the cleared-to-ship workflow and coordinate with fulfillment and sales on prepayments and shipping status.
• Respond to customer and vendor inquiries related to invoices, payments, and account status.
• Handle bill review, payment queuing, and vendor communications in Chase and Xero.
• Support payroll processing coordination including TriNet invoicing and John Hancock transmittal.
• Own the month-end close checklist and ensure all tasks are completed accurately and on time.



Requirements

• Analytical and detail-oriented. Accurate with numbers, comfortable in accounting software, and diligent about reconciliation.
• Customer-first communicator. Warm, professional, and clear in writing and conversation. Experience in customer service is required.
• Systems thinker. Someone who looks at a process and asks whether it earns its place. Brings ideas for streamlining without being asked.
• Self-directed and accountable. Figures things out, asks smart questions, and drives tasks to completion.
• Fast learner. Our systems, tools, and workflows are specific. We will teach them. We need someone who absorbs quickly and runs.
• Excellent written and verbal English. Communicates confidently across internal teams and external customers.

Qualifications

• 1-2+ years of professional experience in accounting, bookkeeping, financial operations, or a closely related role.
• Demonstrated customer service experience, particularly in a B2B or wholesale environment.
• Proficiency in Xero or a comparable cloud-based accounting platform.
• Strong Excel skills, or a genuine curiosity and commitment to building them. The willingness to learn matters as much as the starting point.
• Solid understanding of US-based accounting practices and international business operations.
• Comfortable working independently and owning a broad scope of responsibilities.
• Available to work full-time during US Pacific business hours from Colombia.
• AI-curious and willing to learn. Openness to using AI tools to work smarter and build better systems is a genuine asset here.Preferred
• Experience with tools including XoroSoft, Expensify, GoCardless, UCollect, Chase business banking, TriNet, Gusto, Bill.com, Google Drive, Slack, or ClickUp.
• Familiarity with Syft or similar financial reporting and analytics tools.• Experience supporting CPA handoffs for US tax filings.
• Background working with wholesale or international customer accounts.
