Job description

This is a remote position.

Our client is looking for a Legal Intake Assistant to support their growing legal practice by managing client communications, intake processes, and lead follow-up activities. They operate within the legal services industry and have built a strong reputation by helping clients navigate complex legal matters while maintaining a client-centered approach.

This role is ideal for someone who enjoys speaking with people, thrives in a fast-paced environment, and takes ownership of their work. The successful candidate will be highly organized, empathetic, proactive, and eager to grow within the legal field. They will serve as one of the first points of contact for prospective clients and play a key role in creating a positive client experience.

Responsibilities


• Handle inbound and outbound calls with prospective and existing clients.
• Conduct initial client intake conversations and gather relevant information.
• Qualify potential clients based on established criteria.
• Maintain accurate records of all client interactions.
• Follow up with leads and prospective clients in a timely manner.
• Schedule consultations and coordinate appointments.
• Enter and update information within the firm's CRM systems.
• Communicate professionally with Spanish-speaking and English-speaking clients.
• Assist with administrative and intake-related tasks as needed.
• Provide compassionate and empathetic support during client interactions.
• Collaborate with attorneys and team members to ensure a seamless intake process.
• Help improve intake workflows and client communication processes.





Requirements


• Previous experience in legal intake, client intake, or client-facing administrative roles.
• Professional verbal and written communication skills.
• Bilingual fluency in English and Spanish.
• Strong phone presence and customer service skills.
• Ability to build rapport and establish trust with prospective clients.
• High level of organization and attention to detail.
• Ability to manage multiple conversations and follow-up tasks simultaneously.
• Comfortable working independently in a remote environment.
• Proactive mindset with a strong sense of accountability.


Qualifications


• Experience supporting a law firm, legal practice, or legal services organization preferred.
• Familiarity with Family Law, Personal Injury, or related legal practice areas is a plus.
• Experience using CRM systems for lead management and follow-up.
• Strong problem-solving and critical-thinking abilities.
• Ability to remain calm and professional when handling sensitive situations.
• Demonstrated commitment to continuous learning and professional growth.
