ISTA Personnel Solutions is a fast-growing, global BPO company. We are not a recruitment agency — we operate as a dedicated extension of our U.S.-based clients’ teams, delivering high-quality operational support with precision, efficiency, and professionalism.

We are recruiting on behalf of a U.S.-based Applied Behaviour Analysis (ABA) therapy services provider. This organisation delivers critical behavioural support services to children and families, and their growing caseload means they need a driven, organised recruiter to help fill new client cases quickly and efficiently.

With 10 or more new cases arriving each week that need to be filled within 24–48 hours, this is a fast-paced, high-urgency role where speed and follow-through are everything. You will be managing the full recruitment cycle for ABA therapist roles, from sourcing and interviewing candidates to onboarding and handoff.

About the Role

As an ABA Recruiter, you will be responsible for filling new therapy cases as they come in, ideally within 24–48 hours. You will work closely with candidates applying via Indeed, conduct screening interviews, manage onboarding documentation, and liaise with the onshore staffing team to coordinate case assignments.

Please Note:

  • Working Hours: Monday – Friday | 9:00 AM – 6:00 PM EST (3:00 PM – 12:00 AM South African time, subject to daylight savings)
  • Public Holidays: This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA).
  • Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Connections via Rain, LTE, 5G, or similar are not acceptable. Applicants without a fixed fibre line will not be considered.
  • Power Backup: A reliable backup solution is required to manage load shedding and outages (UPS, inverter, solar, etc.). Applicants without a reliable backup solution will not be considered.
  • Work Environment: Fully remote.
  • This is NOT a commission-based role.

Key Responsibilities:

  • Monitoring and responding promptly to new candidate applications on Indeed
  • Conducting screening and placement interviews for specific ABA therapy client cases
  • Filling new cases within 24–48 hours of receipt
  • Sending onboarding documentation to successful candidates and following up to ensure timely return
  • Coordinating background checks and ensuring all compliance requirements are met
  • Handing completed cases off to the onshore staffing department with all relevant information
  • Proactively sourcing fresh candidates on LinkedIn to build and maintain a strong talent pipeline
  • Maintaining accurate records across internal systems including ClickUp, Viventium, and Teams
  • Communicating professionally and warmly with candidates throughout the full recruitment process

What we are looking for:

  • Excellent verbal and written English communication skills, with a warm and professional phone manner
  • Strong organisational skills and high attention to detail — able to manage multiple open cases simultaneously
  • The ability to work quickly and efficiently in a high-urgency, fast-paced environment
  • A patient, pleasant, people-focused personality that builds rapport with candidates easily
  • Comfortable with basic computer navigation, including MS Office and Outlook
  • Self-driven and proactive — able to manage your own workload and meet tight turnaround times without constant oversight
  • Strong head hunter mindset

Advantageous:

  • Background or exposure to ABA therapy, healthcare staffing, or a related field
  • Previous experience using ClickUp, Viventium, or similar ATS or project management tools
  • Familiarity with sourcing candidates on LinkedIn
