Remote — Canada Eastern Time preferred

Real estate tech-focused brokerage

About the role

We're partnering with a fast-growing Canadian real estate technology company to find a Deal Administrator who thrives in a high-volume transaction environment. This is a full end-to-end role — you'll own the deal process from document intake to final close, working across multiple provinces and touching everything from commission receipting to FINTRAC compliance.

What you'll be doing

  • Managing buying, listing, leasing, and builder deals across Ontario, BC, and Alberta — reviewing documentation, entering into LoneWolf, closing deals, issuing deposit receipts, and ensuring all trade documents are signed and filed.

  • Processing commission receipting, EFT payments to agents and co-operating brokerages, landlord payments, deposit returns, and preparing EFT files for upload to financial institutions.

  • Sending commission invoices to lawyers and co-operating brokerages and following up on outstanding payments.

  • Issuing Trade Record Sheets and maintaining complete, properly filed deal documentation throughout each transaction.

  • Responding to agent inquiries and following up on outstanding paperwork — listing agreements, deal documents, and anything in between.

  • Reviewing Agreements of Purchase and Sale, agency forms, and FINTRAC requirements to keep every transaction compliant.

 


What we're looking for

  • 3 to 5 years of experience in real estate deal administration or brokerage operations.

  • Hands-on experience processing buying, selling, and leasing transactions.

  • Working knowledge of LoneWolf or a comparable deal processing platform.

  • Strong understanding of Agreements of Purchase and Sale, agency forms, and standard real estate documentation.

  • Practical knowledge of TRESA and FINTRAC requirements and how to apply them in a live transaction environment.

  • Experience with commission processing, EFT payments, invoicing, and reconciliation.

  • Proficiency with Adobe Acrobat and Google Workspace.

  • Sharp attention to detail, strong organization, and the ability to manage multiple priorities in a remote environment.

 

Nice to have: Multi-province brokerage experience (ON, BC, AB), familiarity with Fintracker or similar compliance tools, or a background in accounting, finance, or business administration.

 


Base salary range

$50,000 – $65,000 CAD / year

Final offer based on experience.
