Requirements:

  • Coordinate the Co-Executive Directors' activities, including managing complex calendars, travel arrangements, and associated logistics, prioritizing access based on priorities and needs
  • Independently plan, coordinate, and oversee logistics for meetings and conferences for the Co-Executive Directors and the Board of Directors
  • Prepare, compile, and disseminate board and committee meeting documents and maintain accurate minutes in accordance with regulations
  • Organize and manage logistics for board committee meetings, executive committee meetings, finance committee meetings, staff/board retreats, and other internal meetings/events

Job description

Schedule: Full Time (1.0 FTE). M4BL practices a five-day work week, with hours of operations between 10:00am-6:00pm ET.


Location: Remote. This role includes travel during approximately five weeks or 10% per year for internal staff gatherings, convenings with M4BL’s ecosystem organizations, and external conferences.


Supervised by: Manager for Executive Initiatives 


Reports to: Co-Executives, Board of Directors and M4BL Strategy Table


Salary: $ 88,000-$ 103,000 annually, with full health benefits for employee and dependents, employer-funded retirement plan, remote work stipend, and generous front loaded time off and sick days

MOVEMENT FOR BLACK LIVES

The Movement for Black Lives (M4BL) is an ecosystem of organizations and individuals creating a shared vision and strategy to win rights, control and resources for Black people. Building on the legacy and strategies of past movements, the Movement for Black Lives has created a broad political home for Black organizers, activists, and their organizations. Our ecosystem is held together by politics of abolition, anti-capitalism and radical Black Queer Feminisms, and a value system that fights for the most marginalized amongst us. 


POSITION SUMMARY

The Executive Assistant/Governance Coordinator provides administrative support of a substantial and confidential nature to the Co-Executive Directors, anticipating their needs and proactively solving problems as well as support to the M4BL Board of Directors. The Governance Coordinator will work closely with the Strategy Table coordinator to ensure effective and seamless support of M4BL governance.  Most of the work requires a high degree of autonomy, without prescribed procedures, and with delegated authority to exercise discretion and judgment especially in communication with stakeholders.  Many competing objectives, priorities and demands are typical of this role.  


ESSENTIAL FUNCTIONS

  • Coordinate the Co-Executive Director's activities, including the management of complex calendars, travel arrangements and associated logistics, independently committing the executive's time to those requesting access based on an in-depth understanding of their priorities and needs and their role within the values and priorities of M4BL  
  • Independently prioritize, plan, coordinate and oversee logistics for meetings and conferences with individuals and entities internal and external to M4BL for the Co-Executive Director and for the Board of Directors 
  • Prepare, compile, and disseminate all Board meeting documents, committee meeting documents and keep impeccable minutes of the governing bodies per regulations  
  • Employ exemplary organizational and planning skills by organizing and managing logistics associated with Board Committee meetings, Executive Committee meetings, Finance Committee meetings, staff/board retreats and other internal meetings/events/retreats   
  • Compose correspondence; develop, review, and edit presentations and documentation; independently research and analyze associated issues and/or compile materials needed for presentation and/or decision-making purposes
  • Manage multiple projects; anticipate and track critical dates, expenses, events and logistical needs for the Board and the Co-EDs 
  • Organize and maintain filing systems and ensuring all pertinent information and supporting materials are retained in accordance with the highest governance standard
  • Assist in documentation of purchases with M4BL credit card and submitting receipts for reimbursement

LOCATION

Anywhere within the United States. Must be comfortable and able to work remotely and have access to reliable internet connection. This role includes travel during approximately ten weeks per year for internal staff gatherings, convenings with M4BL’s ecosystem organizations, and external conferences. May also require travel and work on occasional weekends and evenings as determined.
