Job description

This is a remote position.

Intake Coordinator

Join a growing mental health treatment clinic that is making a meaningful impact for patients with major depression. This role will guide prospective patients and referring providers through the intake journey, including answering questions, reviewing forms, insurance verification, and appointment coordination.

What You'll Do:

  • Serve as the first point of contact for prospective patients and referring providers via phone, web forms, referrals, and text communication.
  • Explain the treatment process, answer common patient questions, and use provided training resources to handle basic inquiries accurately.
  • Ask intake-related medical history questions, including past and current medications, and document information carefully.
  • Create and update patient records in the CRM and EMR.
  • Help patients complete required forms, review submissions thoroughly, and follow up on missing or incomplete information.
  • Schedule telehealth evaluations with providers, coordinate next steps based on approval status, and arrange induction-phase appointments, including twice-weekly sessions for the first four weeks.
  • Verify insurance benefits, call payers when needed, and initiate prior authorizations through payer portals or by phone.
  • Guide patients through the intake and treatment process, especially when they need help with portals, forms, or appointment logistics.
  • Escalate complex insurance or clinical questions to the appropriate internal team while keeping the patient moving through the process.

Who You'll Work With:

Be an integral part of a compassionate mental health treatment team, supporting patients, referring providers, and internal team members to keep the intake process smooth, organized, and patient-centered.

Who We're Looking For:

  • Great Communicator: Must be articulate and sound professional, natural, and office-based when speaking with patients.
  • Compassionate: Able to be patient, kind, and calm with people dealing with depression, including patients who may call repeatedly or need extra reassurance.
  • Customer-Service Oriented: Strong customer service experience is preferred, especially experience supporting U.S.-based clients or patients.
  • Tech-Savvy: Must be comfortable using computers, email, CRM systems, EMRs, portals, text platforms, and multiple software tools.
  • Detail-Oriented: Able to review forms carefully, catch missing information, and ensure patient records and insurance details are accurate.
  • Independent: Should not need constant reminders once trained; must be able to own the intake workflow and follow through on tasks.
  • Quick Learner: Expected to gain a working understanding of the intake process, software navigation, basic treatment FAQs, and insurance steps quickly with hands-on training.
  • Experience: Experience in healthcare is a plus, but not necessary.
  • Location: Latin America.
