This is a remote position.

Intake Coordinator

Join a compassionate, fast-growing mental health clinic where you’ll serve as the first voice people hear when they reach out for support. In this role, you’ll guide individuals through the intake journey with empathy and clarity, helping them feel comfortable, understood, and ready to begin care.

What You'll Do:

  • Answer inbound calls, texts, and inquiries from prospective patients and act as the first point of contact.
  • Guide leads through the intake process, clearly explaining treatment offerings and next steps.
  • Follow up with warm leads who have previously expressed interest but have not yet converted.
  • Maintain consistent communication with prospects via phone, text, and other channels to nurture conversions.
  • Review lead history and notes to personalize outreach and determine the best engagement approach.
  • Provide supportive guidance throughout the onboarding journey to ensure patients feel comfortable and informed.
  • Track and manage a pipeline of leads, ensuring no opportunities fall through the cracks.
  • Conduct ongoing check-ins with active patients to encourage retention and prevent drop-off during treatment.
  • Adjust tone and communication style based on each individual’s situation using sound judgment and intuition.

Who You'll Work With:

Be part of a supportive mental health team focused on delivering thoughtful, patient-centered care, collaborating closely with clinical and support staff to ensure a seamless intake and onboarding experience.

Who We're Looking For:

  • Fluent English (Near-Native Level): Must sound highly natural, clear, and professional on calls, with minimal noticeable accent.
  • Phone Presence: Strong ability to build trust quickly through tone, empathy, and professionalism.
  • Intuitive Communication: Able to read people, understand emotional states, and adapt responses accordingly.
  • Organized: Capable of managing multiple leads, tracking follow-ups, and maintaining detailed notes.
  • Client-Focused Mindset: Comfortable guiding individuals through sensitive situations with patience and care.
  • Ownership Mentality: Able to take full responsibility for the intake and client journey without constant oversight.
  • Adaptability: Comfortable balancing inbound responsiveness with proactive outreach to warm leads.
