The Executive Assistant will work closely with the Director (Co-Founder / Executive Director) and shall provide management and executive support in a one-to-one working relationship. The person will act as the nodal point of contact for internal & external constituencies on all matters pertaining to the Director. The person must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The applicant shall interact/work with people including employees, volunteers, donors, partner organisations, corporates and vendors.
Primary responsibilities include but are not limited to:
Researches, prioritizes, and follows up on all matters and concerns addressed to the Director/Co-Founder, including those of a sensitive or confidential nature and recommends appropriate course of action, referral, or response.
Assists in coordinating the agenda of management team and staff meetings; summarises the minutes of meetings and follows up on closure of the actionable in a timely manner.
Works closely and effectively with the Director to inform upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer”, having a sense for the issues taking place in the environment and keeping the Director updated.
Completes a broad variety of administrative tasks for the Director including managing email, appointments, completing expense reports, composing, and drafting communication and compiling documents & reports.
Coordinate with other staff members and volunteer leaders to monitor, track and report periodically on the progress / performance of programmes / initiatives.
Educational Qualification/Experience:
Any graduate
Holding a Master’s in Business Administration will be an advantage.
More than 3 years of relevant work experience
